ABOUT KIDSAFE


KidSafe is a non-profit British Columbia society that has been nurturing Vancouver's most resilient elementary school children since 1993, in partnership with the Vancouver School District.

We provide a safe space when school is not in session, where KidSafe children can come to learn, play, eat nutritiously, and just be kids.

We currently serve approximately 800 children annually who have been identified to us by professional, third-party referrers.


POSITION DETAILS


They will be responsible for building and maintaining relationships with various stakeholders to increase awareness of and support for our agency.

Working closely with the Fund Development team, the Coordinator will be responsible for planning and executing events and activities related to relevant programs and campaigns undertaken by the organization.

Other duties will include general fundraising duties and projects as assigned.


Key Responsibilities include:


Event Coordination:

  • Project management of all KidSafe events which includes event setup and takedown including creating run sheets for events, assigning staff roles and volunteers, managing participant registrations and any other event logistics
  • Organize supplies, resources or any other needs for dayof event execution
  • Share event photos and donor thankyous postevent
  • Assist with the creation of sponsorship packages and funding proposals, as directed by Manager of Fund Development
  • Coordinating with catering services for food and beverage arrangements during events
  • Manage allocated events budget(s) with support from the Philanthropy team
  • Provides expertise in the development, organization, administration and execution of special events and keeping pre and post event details
  • Contributes to and helps implement plans to engage stakeholders and volunteers
  • Liaise with internal departments, committees and external clients to facilitate the coordination of event production.
  • Produce promotional materials and signage for internal & thirdparty events, including organizing KidSafe staff to attend and support as required

Digital Marketing Management:

  • Social media management for KidSafe's Instagram, Facebook, Twitter, and LinkedIn accounts
  • Brainstorming/researching regular content and campaign ideas
  • Producing graphics, gathering and editing photos to post
  • Copywriting for the posts
  • Scheduling content at optimal posting times
  • Running analytics reports to track engagement
  • Oversee KidSafe's website including conducting updates to information, webpages and posting blog posts

Reports, Appeals & Grant Writing:

  • Produce and print impact reports following KidSafe's breaktime programs
  • Produce KidSafe's Annual Report in collaboration with Manager of Fund Development
  • Produce mass appeals 23x a year to encourage individual donations
  • Coordinate mailout system
  • Implement enewsletter strategy (using Mailchimp) to send out appeals, update audiences, and engage monthly donors
  • Assist with planning, production and implementation of fundraising campaigns
  • Assist with researching grants and grant writing, as assigned which includes producing budget breakdowns for specific grants, producing funding proposals and completing reports on funds used

QUALIFICATIONS

  • Postsecondary education or equivalent experience in communications, marketing, public relations or event management
  • Minimum of two years proven results with the management of small and large events/fundraisers
  • 12 years of Marketing experience
  • Media Relations experience is an asset
  • Ability to attend and conduct presentations
  • Minimum 2 years of professional experience executing corporate or nonprofit events.

KEY COMPETENCIES:


  • Excellent oral and written communication skills; must be confident leading presentations and donor meetings
  • Social media management (Facebook, Twitter, Instagram, LinkedIn, and Hootsuite)
  • Experience with eTapestry (donor management) database, Canva (or related graphic design software), and Mailchimp are strong assets
  • Strong interpersonal skills in establishing successful working relationships both internally and externally
  • Proven ability to establish effective working relationships with all levels of management and senior volunteers
  • Strong organizational (time management), analytical, and problem solving skills
  • Ability to multitask, manage and meet tight deadlines
  • Must be able to work well independently and as a member of a team
  • Must have own transportation and the flexibility to work some evenings and weekends as needed for events and fundraisers
  • Willingness to help other teams with tasks outside of your job description and work towards a common goal
