CRITERIA FOR AN INTERVIEW ARE AS FOLLOWS:
Two-year College Diploma in Secretarial Science program(s) or equivalent

Minimum two (2) years of working experience in corporate secretariat/governance environment

Working knowledge of corporate meeting procedures/processes and by-laws

Proficient speed in keyboarding utilizing current technology

Proficient written communication skills and excellent command of the English Language

Excellent interpersonal and organizational skills

Experience with E-Scribe a definite asset

Proven ability to deal with multiple tasks and various competing demands

Proven ability in prioritizing work

Detail-oriented with the ability to work with high accuracy, well under pressure and meet tight timelines

Knowledge of shorthand/speed writing an asset but not a requirement

Availability to work outside core office hours, as required

Proven ability to work independently


MAJOR DUTIES AND RESPONSIBILITIES:


Reporting to the Recording Secretary and under the direction of the Legal Services Department, the primary function of this position is to provide support in the governance processes in accordance with established protocols.

Duties and responsibilities include but are not limited to the following:

Prepare agendas, addendums, documents and reports, for various Committee and Board Meetings (Public and Private) in conjunction with the Recording Secretary and or other members of the governance team

Attendance at all Board and Committee meetings as required, typically four to seven meetings /month, which generally commence at 6:00 pm or 7:00 pm and end at undetermined times

Record minutes of the various meetings when required

Carry out pre and post-meeting duties as assigned

Post agendas, minutes, and any other meeting documents including reports on the Board website and SharePoint

Provide administrative and secretarial services in supporting the management of the governance processes

Ensure the retention and overall integrity of all Board agenda packages and back-up documents

Perform other duties as assigned or required
