Sun Life is embarking on a multi-year transformation to a Digital Enterprise, moving to a new way of working - bringing Client Experience, Design, Business, Product, Marketing, and Operations closer together in delivering Client value.

The Operations Program Design Specialist is important in our overall strategy to scale experience design and advance our product development practices across the enterprise.


Reporting to the Design Operations Lead, the Operations Program Design Specialist role will support key projects and help establish sound processes across the Design organization.

You will help to identify opportunities for our Design Ops practice, evaluate and prioritize key improvements in the current design team's experience, and create the necessary processes to help support teams across our Client Experience Office in Canada.


You will work closely with team members from across the broader experience design (XD) function, as well as cross-functionally with leaders in HR & technology, to support the evolution of the design practice at Sun Life.

You will identify opportunities to improve processes and streamline the way our design team works. You will also help in the development of tooling strategies & implementation.


What will you do?

  • Develop an understanding of each discipline within our Design team, obstacles they face, and how to help them succeed.
  • Establish, roll out and iterate upon processes and standards for UX disciplines to create efficiencies and remove roadblocks.
  • Help to develop a measurement framework to measure efficiencies & report these back to business and finance.
  • Create solid business cases based on data to support process enhancements or tool transitions.
  • Seek to discover other opportunities across the design organization and other adjacent disciplines (Product, Marketing, CX) for efficiencies and cost savings.
  • Work in concert with Global partners to establish a scalable license management process for research and design tools and support the Canadian team with license administration.
  • Keep an accurate and uptodate record of Business Continuity plans for our daytoday tools
  • Monitor the team's employee onboarding scores and suggest additional improvements to employee onboarding & engagement.
  • Support the continued evaluation and implementation of critical design tools for designers, writers, and researchers.
  • Perform competitive organizational analysis and recommend procedural and structural improvements to ensure Sun Life keeps pace with other designled organizations.
  • Create reports and realtime dashboards for stakeholder communications and quarterly reviews

What do you need to succeed?

  • Strong collaboration skills, and a demonstrated ability to establish process and drive adoption across a complex organization.
  • An innate ability to create order out of chaos and make recommendations for process and practice improvement that align with organizational priorities.
  • Exceptional attention to detail and bias for action.
  • Working knowledge of XD tools (e.g. Figma/FigJam, Miro, Userzoom).
  • Strong excel skills, knowledge of Tableau is a plus
  • Working knowledge of creative project management best practices.
  • Ability to successfully lead, manage, and deliver on multiple projects.
  • Excellent verbal, written, and presentation skills.
  • Ability to work with a diverse range of stakeholders.
  • Growth mindset and an innate curiosity about the impacts of emerging technology on experience design (i.e. GenAI augmented workflows, copilot technology in design tools)
  • Minimum of 23 years of combined experience in user experience or project/program management.
  • University degree or certification in Business, Finance, Project/Program Management, User Experience Design, or equivalent work experience.
