JOB SUMMARY:


Reporting to the Director, Community Engagement and Programming and working as an integral part of a high performing team, the Events Coordinator is responsible for all aspects of high profile system-wide events.

This includes planning, project management, identification of speakers, ongoing support of speakers, communication with stakeholders, budget tracking, logistics and evaluation.

Responsibilities also include creation of tools and processes to support a continuous learning model and to support other RPL staff in actively engaging with Events.


RESPONSIBILITIES:


  • Work with the Community Engagement and Programming Unit to identify high profile Library events that align with strategic priorities.
  • Create, develop, grow and maintain positive relationships with the Regina community to identify, establish, and plan high profile well attended events that further the goals of the Library in the community.
  • Lead the development, delivery and assessment of Library events that build on past successes and attract new audiences.
  • Manage activities within the project and annual budget expectations.
  • Arrange services (accommodation and transportation for participants, catering, signage, displays, translation services, audiovisual equipment, printing, security) and manage any problems that arise.
  • Undertake ongoing professional development activities leading to an in-depth knowledge of current event planning practices and initiate recommendations and action regarding the adoption of new practices, standards and service innovation at Regina Public Library.
  • Communicate with multiple stakeholders including writing of reports.
  • Other duties as assigned.

QUALIFICATIONS:


  • Bachelor's degree in a related field from an accredited post-secondary institution.
  • Awareness of industry best practices in libraries and in event planning, with an understanding of the Library's value in the community.
  • Demonstrated experience in event planning, project management, creating and tracking budgets.
  • Demonstrated knowledge of current technology, trends and issues related to event planning such as might be gained through experience, education or professional activities.
  • Demonstrated commitment to deliver consistent, high quality customer service.
  • Demonstrated strong organizational skills including the ability to effectively and efficiently manage work, scheduling, and priorities.
  • Demonstrated ability to assume responsibility, and perform duties requiring independent, judgment, initiative, and discretion.
  • Demonstrated analytical skills and problem-solving ability, including the ability to evaluate, assess and problem-solve using logical, fact-based reasoning.
  • Demonstrated strong oral and written communication skills, including public speaking and delivering presentations.
  • Demonstrated ability to establish and maintain positive working relationships with the public, staff, external agencies, and to work as a member of a high performing team.
