Job Summary:
Supports the Chief Technology Officer (CTO) office by providing a range of administrative and office support functions.
Major Responsibilities:
- Assists with various office functions such as filing, data entry, photocopying, sending faxes etc.
- Receives/logs data/information received.
- Collects data for others to analyze and process.
- Assists with organizing and presenting data collected. May utilize various software packages.
- Inputs/retrieves/updates/maintains data.
- Assists others with drafting documents, correspondence etc.
- Assists with financial transactions and makes calculations.
- Answers inquiries, provides general information, takes messages, and directs inquiries to appropriate staff to answer questions/handle requests.
- Assists with setting up meetings. Records and circulates data.
- Assists with mail/supply collection, inventory, sorting and distribution.
- Assists with packing, loading, lifting, moving, delivering, setting up, maintaining and unpacking supplies, equipment, furniture etc.
- Travels to various locations and/or special events to provide assistance.
Key Qualifications:
- Experience managing calendars, coordinating availability among multiple stakeholders, sending meeting invitations and ensuring logístical details are in place for seamless meeting experiences all while demonstrating accuracy and efficiency
- Experience effectively receiving, logging, and organizing incoming data/information to ensure accessibility and clarity for streamlined processing, optimizing workflow efficiency, and facilitating informed decisionmaking.
- Experience collecting, inputting, retrieving, updating, and maintaining data using relevant software packages, maintaining data integrity and security.
- Experience managing diverse tasks, facilitating financial transactions, coordinating meetings, overseeing supplies, and providing assistance across various locations and events. Demonstrates flexibility and proactive problemsolving.
You Must Also Have:
- Excellent communication skills and a strong customer service orientation with ability to communicate effectively.
- Strong interpersonal skills enabling working effectively as a member of a team.
- Strong analytical and problemsolving skills
- Excellent organizational and time management skills, including attention to detail, ability to set priorities, meet deadlines and work effectively with mínimal supervision, deal with conflicting priorities and work demands.
- Ability to travel to various sites within the City of Toronto as required.
