Description

The RMA Insurance Administrative Coordinator primarily supports RMA Insurance and the General Manager of Insurance while working closely with the Business Services Coordinator.

As a result of carrying out the roles and responsibilities noted below, this position will have access to highly confidential member and association information.

It is expected and required that this information be held in the strictest of confidence.

This position is also responsible for coordinating statistical insurance and claims reports and inputting claims reports.

This position will assist Risk Management personnel in preparation of workshop materials, participation in trade shows and client contact tasks, handling mail and filing and other duties as required.


The RMA Insurance Administrative Coordinator will report to and provide administrative, planning, and organizational support to the General Manager of Insurance and assist in meeting the organization's operations and marketing plans' objectives.

In all cases, this position is expected to work in a team environment for dealing with issues, events and programs.


The key responsibilities for this position include:

RMA Insurance

  • Assists in the coordination of marketing and retention activities
  • Assists in event planning for training sessions and annual Risk Pro conference.
  • Supports Insurance marketing, activity, including trade shows, and ongoing marketing material for all business lines.
  • Open claims files in the software as required
  • Assist in claims audit preparation
  • Record meeting minutes
  • Assists with renewal
  • Check all RMA Insurance employee expenses and send for approval
  • Assists with onboarding new hires

Marketing Coordination

  • Supports Insurance marketing activity
  • Work closely with Communication staff to ensure that the website is up to date
  • Compiling and editing insurance content for the monthly Contact newsletter
  • In contact with members on general inquiries
  • In contact with suppliers on general inquiries and joint marketing activities
  • Make travel arrangements for RMA Insurance staff
  • Coordinating tradeshow attendance for RMA Insurance
  • Coordinating printed and promotional marketing materials
  • Compiling content and advertising for the annual RiskPro
  • Any other tasks as required
  • Coordinate ordering for Genesis and RMA Insurance swag orders

Governance

  • Will assist in coordinating both joint and independent governance functions related to Genesis Reciprocal and RMA Insurance.
  • Assist in coordinating annual reciprocal AGM
  • Assist in administrative governance duties related to the Reciprocal
  • Take meeting minutes in Genesis Board Meetings
  • Coordinate any strategic planning and Board retreats
  • Prepare agenda packages
  • Take minutes and prepare reports for Genesis Committees
  • Coordinate any Board education

Events Planning

  • Coordinates the annual RiskPro Seminar
  • Coordinates Insurancerelated events
  • Coordinates RMA Insurance Advisory Member Committee meetings.
  • Assist in annual Business Services Golf Tournament
  • Assist in Convention Duties
  • Assist in preparing Genesis AGM

Data

  • Complete monthly loss runs for reciprocal members upon their request
  • Complete member loss runs for risk management activity
  • Updates and maintains member list on monthly basis

Qualifications

  • Postsecondary degree/diploma in business, marketing or a related discipline.
  • Office experience (with experience in accounting functions).
  • Insurance experience preferred
  • High proficiency in MS Word, MS Excel, PowerPoint, Outlook, and Adobe Acrobat is essential.
  • Excellent written, oral and listening skills, and exceptional organization and planning skills.
  • Personable and able to build and maintain professional relationships.
  • Aptitude for dealing with members and suppliers.
  • Strong time management skills.
  • Able to work with mínimal supervision, selfmotivated, and selfdirected.
  • Manages multiple priorities in a fastpaced and changing environment while able to quickly analyze problems to reach a conclusion.
  • Expects the highest quality performance from self and others.
  • Able to and enjoy working in a team environment including keeping others appropriately informed.
