Summary of Position


The Project Coordinator will support the Project management team assisting and liaising with vendors and completing quality control to ensure projects are on time and on budget.

Our projects involve fabrication, roll out and installation of complex fixture programs.


Role & Responsibilities:


  • Use our online project management tool (QuickBase) to open new project #'s, keep installation calendar up to date, create installer work orders, etc.
  • Communicate with and manage vendors/suppliers. Request quotes, samples, etc. and follow up to ensure orders are on track.
  • Coordinate shipment of orders as required (FedEx, Swift).
  • Use QuickBooks to create Purchase Orders and Estimates
  • Manage minor ongoing projects including responsibility for P&L.
  • Assist project management team with larger complex projects (create/print shipping labels and QC documents, update installer binders, book installer flights/hotels/vehicle rental, etc).
  • Assist in the supervision of product dry fit and customer site installation, if required.
  • Working with and supporting the project team in an efficient manner, liaise between Design and Detailing departments as required.
  • Managing project deliverables and performance in line with approved project plans.
  • Recording, tracking and managing project issues and risks and escalating when necessary.
  • Assist Operations team with developing & maintaining project plans and costing sheets
  • Provide status updates and reports to the Account Manager/Project Manager.
  • Take minutes and note actionable items at weekly Project Management meetings
  • Work with lead designer to arrange photography of major projects
  • Provide backup assistance to reception
  • Any other duties assigned from time to time, in line with role competencies and / or skillset

Qualifications & Skills Required

  • Postsecondary related training would be an advantage, University degree preferred
  • Detailoriented the ability to identify important details, ensuring things are not overlooked and delivering a consistently high quality of work
  • Demonstrated initiative finding innovative solutions for the company and the clients
  • Versatility the ability move across a range of projects and clients over time
  • Superior organizational, negotiation and problem resolution skills
  • Ability to develop and maintain positive working relationships both internally and externally
  • Must be able to quickly analyze, compare and interpret detailed and sometimes poorly defined information and be able to make sound and accurate judgments based on best available information
  • Experience with Intuit QuickBase and QuickBooks, or similar online project management and accounting tools is an asset
  • Excellent written and verbal communication skills.
  • Excellent computer skills including Gmail, Word, Excel, PowerPoint
  • Excellent spelling, grammar and mathematics

Salary:
$55,000.00-$60,000.00 per year


Schedule:

  • 8 hour shift

Work Location:
Hybrid remote in Toronto, ON
