Peak Medical Specialty Centres is looking for a Full Time Medical Office Assistant to work out of our Allendale Edmonton location.


In our Allendale clinic, our clinical focus includes Respirology, Paediatric Neurology, Pulmonary Function testing, Sleep Apnea Testing and Treatment, and Medical Cannabis.

You'll find yourself at the heart of our operations, supporting various departments and team members, to ensure smooth and efficient day-to-day functioning.


You will be working as part of a team that includes multiple disciplines such as Administration, Sleep Technicians, Respiratory therapists, Licensed Practical Nurses, and Physicians.

As this role requires working as part of our team and providing first line of communication with patients as well as our physicians, the successful applicant shall be highly professional, presentable, positive, and reliable.


Your Mark:

Patient Reception and Check-In:


  • Greet patients and visitors in a friendly and professional manner.
  • Verify patient demographics and ensure all necessary paperwork is completed accurately.
  • Schedule appointments and manage the clinic's schedules efficiently.
  • Validating Alberta Health Care Coverage for patients

Patient Record

Management:


  • Maintain electronic health records (EHR) and ensure all patient information is uptodate and accurate.
  • Create new charts for incoming referrals, coordinate referral confirmations to send back to referring physicians, and contact patients for booking
  • Handle confidential patient information with discretion and adhere to HIPAA regulations.

Assist Healthcare Providers:


  • Mark patients' as arrived upon time of checkin, contact patients who have not checked in at the time of their appointment
  • Assist physicians and nurses with rooming patients or taking vitals as required (Such as blood pressure, temperature, and weight)
  • Prepare examination rooms, ensuring they are clean, stocked, and organized.

Patient Education and Communication:


  • Provide patients and their families with relevant information about procedures, treatments, paperwork, and medications as directed by healthcare providers.
  • Answer phone calls and respond to inquiries from patients, caregivers, and other healthcare professionals promptly and courteously.
  • Send messages to physicians or nurses as appropriate, for clinicalrelated questions or concerns relayed by patients'

Medical Billing and Coding:


  • Process patient payments, and assist with billing inquiries.
  • Scan copies of the physicians billing/day sheets into the EMR for timely processing

Administrative Support:


  • Perform general administrative tasks such as filing, faxing, scanning, printing and copying documents.
  • Assist with inventory management, including notifying staff on site about needs regarding ordering and stocking medical supplies and office supplies.
  • Coordinate referrals to specialists and other healthcare facilities as needed.
  • Fax consultation letters back to the referring practitioners at the time of completion
  • Fax diagnostic reports (Pulmonary Function Test results and Sleep Apnea Test Results) back to referring practitioners

Clinic Operations Support:


  • Collaborate with other clinic staff to ensure smooth daytoday operations.
  • Assist in maintaining cleanliness and organization in the reception area and waiting room.
  • Participate in staff meetings and quality improvement initiatives as required.

Safety and Compliance:


  • Follow infection control protocols and maintain a safe environment for patients, staff, and visitors.
  • Adhere to clinic policies and procedures, including safety regulations and quality assurance standards.

Your Skills:

Medical Terminology: Proficiency in medical terminology is critical for accurately understanding patient needs and communicating with healthcare providers.

Electronic Health Records (EHR)

Management:

Experience with EHR systems to maintain patient records, update medical histories, and input clinical data efficiently. Previous experience with MedAccess EMR would be an asset.

Patient Communication: Strong communication skills to interact with patients and their families empathetically, explaining procedures, test results, and consultation processes clearly and reassuringly.

Scheduling and Appointment

Management:

Ability to manage a busy appointment calendar, schedule patient appointments, and coordinate with multiple healthcare providers' schedules effectively.

Organizational Skills: Excellent organizational abilities to maintain order in a fast-paced environment, prioritize tasks efficiently, and manage multiple responsibilities simultaneously.
