Receptionist

Responsibilities/Duties:

Responsibilities include, but are not limited to the following:

Reporting to the Human Resources and Administration Manager the Receptionist is the face of the company to all visitors; this position plays an important role in representing DEW.


Reception

  • Answer and direct all incoming calls to appropriate individuals on a multiline switchboard
  • Use internal intercom system to page employees as required
  • Greet clients and employees in a professional and pleasant manner
  • Monitor the front gate for individual access
  • Maintain guest log, sign in all visitors, distribute visitor passes and notify the appropriate employee of their arrival
  • Open, distribute and circulate incoming mail, various publications and internal documents
  • Update and maintain all company phone listings
  • Sort and prepare outgoing mail for pickup, and maintain postage meter
  • Maintain cleanliness and professional appearance of Reception and the Mail Room

Administration

  • Arrange catering for meetings as required
  • Monitor and maintain company coffee/tea supplies as required
  • Scan invoices and file electronically, assist with matching and other related account payable assistance for Finance department
  • Arrange local and international couriers as required using appropriate software
  • Maintain and order all office supplies and equipment
  • Assist all departments with word processing, photocopying, filing and other administrative tasks as required
  • Maintain and record all outgoing government correspondence
  • Monitor electronic timekeeping system in preparation for payroll
  • Other duties as assigned

Qualifications

  • Completion of High School
  • Minimum five years experience in Reception
  • Extensive reception and customer service experience in a fastpaced environment
  • Prior experience in administrative support functions
  • Previous experience operating a multiline switchboard
  • Proficient with Microsoft Office
  • Excel, Word, Outlook and PowerPoint
  • Experience in manufacturing environment preferred
