Job Responsibilities (not limited to):
- Prepare invoices, quotations, and real estate documents
- Filing both digital and physical documents. Documents such as real estate contracts, invoices, quotations, and cheques
- Handle phone calls and diverting the call to the right department.
- Manage work calendars of the management team
- Schedule and confirm appointments of the management whenever required
- Arrange inperson meetings or video conferencing and prepare meeting minutes for the management team
- Attend tenant queries and resolve their issues by diverting queries to the right department.
- Answer electronic inquiries professionally
- Get quotes from the vendors and present them to the team after analyzing them
- Compile data, statistics, and other information
- Maintain the record of pending invoices and follow up with the clients for the payment
- Get legal documents signed by the clients or from the managers
- Print, Scan, and Photocopy of the documents as advised by the management team
- Follow up with the architectures, engineers, and consultants on behalf of the team and ensure that the given tasks are completed on time.
- Mail out cheques or do online payment transactions on behalf of the management team
- Stay up to date with any new regulations such as covid and health emergencies and helps to implement the protocol
- Update Google sheets in a timely manner
- Keep a track of office supplies and maintain the inventory
- Perform HR duties by handling employees complaints, help in the hiring process, and train the new employees
- Handle marketing department by managing the company's Instagram account
