Job Description:
Greentree Outdoor Living, a leading landscape design and build contractor located in Edmonton, Alberta, is seeking a dedicated and efficient Office Manager to join our team.
This role plays a pivotal role in ensuring the smooth operation of our office, supporting the day-to-day activities of our General Manager and owners, supervising the administrative assistant, and actively contributing to the development and management of Key Performance Indicators (KPIs) and project schedules.
Key Responsibilities:
Office Management:
- Manage office supplies and equipment, ensuring their availability and proper functioning.
- Greet clients and visitors, creating a welcoming and professional atmosphere.
- Maintain office cleanliness and organization.
- Organize event schedules, party trailer events and other company events and meetings
Client Relations:
- Ensure client bookings,appointments and meetings are in order and on schedule
- Address client issues and complaints promptly and professionally, seeking resolution.
- Ensure excellent customer service and maintain positive client relationships.
Administrative Support:
- Assist the General Manager (GM), owners, designers and other staff with various tasks as needed.
- Supervise the administrative assistant, providing guidance and support.
- Human resources management, including onboarding new employees, maintaining personnel and safety records, and managing employee benefits.
- Other administrative duties consistent with the general scope of operations
Financial Management:
- Assist as needed in invoicing and payment processing, ensuring accuracy and timeliness.
- Keep financial records and assist with financial reporting as required.
- Work with the accounting department to maintain financial records.
KPI Development and Management:
- Collaborate with relevant stakeholders to establish, track, and report on KPIs to assess office and team performance.
- Continuously improve and refine KPIs to drive productivity and efficiency.
Project Schedule Management:
- Develop and maintain project schedules in collaboration with project management teams.
- Ensure projects are delivered on time and within scope, making necessary adjustments as needed.
Record Keeping:
- Maintain organized and uptodate files and records, both physical and digital.
- Ensure compliance with document retention policies and data security.
- Check and maintain job folders and assist in tracking purchases and job files of every project
General Duties:
- Handle various administrative tasks, such as document preparation, data entry, and correspondence.
- Collaborate with team members to provide support and contribute to the overall efficiency of the organization.
- Manage the inperson and digital storefront to enhance sales, customer service and customer experience
Ideal Qualifications:
- Previous experience in office management and administrative support is preferred.
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Knowledge of HR and/or safety practices and financial procedures is an asset.
- Proven experience in developing and managing KPIs.
- Experience in project schedule management.
- A proactive and problemsolving mindset.
- Ability to work independently and as part of a team.
- Positive attitude and a commitment to delivering exceptional service.
- Ability to resolve conflicts
- Ability to control the day to day innerworkings of the office environment
Pay:
$48,000.00-$52,000.00 per year
