The Program Services Coordinator Drop-In is responsible for providing supervision, support and coordination of all aspects of Drop-in Support Services, and transitional housing.

The incumbent will advocate for individuals who are in need of services and assist with the development of a strong, positive and supportive community.

The focus of the work is to strengthen communication, boundaries, safety and trust for individuals in our program, assisting them to make steps toward getting housed and/or staying housed


KEY RESPONSIBILITIES:


Supervisory

  • Recruitment and onboarding, maintaining staff relief worker pool, and organizing shift coverage in cases of staff absence
  • Provide ongoing coaching, mentoring and performance management of direct reports utilizing the SA PEAC system
  • Supervise Program Services Caseworkers Dropin with regard to schedules and procedures, methods, materials and formats, providing backup support to these positions and their functions as required
  • Monitor and ensure staff practices are in compliance with Policies, Procedure, Operating Principles and all Core Standards
  • Assure that all persons coming in contact with Sutton Youth Services, whether in person or phone, including all forms of electronic communication, are treated with dignity and respect by Program Service staff
  • Provide job specific orientation, training and scheduling staff in accordance with government contracts and core standards
  • Manage and maintain schedule for Drop In staff to ensure adequate program staff coverage at all times
  • During shift, take lead role in crisis intervention and dispute resolution as required to ensure the safety of residents, outreach clients and staff
  • Participate in the provision of the Case Management Plan including intake, support and other direct services to residents and outreach clients of the facility during shift
  • Ensure directly and through staff, the maintenance of the security and monitoring of the security system
  • Establish and maintain proper records, logs and files for the applicable shift to ensure the smooth operation of the facility, complete indepth reports for critical incidents; prepare resident files for discharge
  • Ensuring that statistics are being kept and recorded in order to support our reporting to York Region for fulfilling our monthly and quarterly report. Provide statistics and monthly reports to Program Services Director
  • Ensure that all computer records, reports, logbook entries, intake forms and other administrative tasks are done accurately and consistently as per the personal information protection and electronic documents act
  • Report attendance for staff in UltiPro or to designate
  • Maintain relief employee list / Arrange complete staff coverage during sick / vacation time. Ensuring all request is processed through UltiPro
  • Ensure the Program Services Director is kept informed of all incidents, observations and infractions occurring at Sutton Youth Services in a timely manner and that the information is properly documented and passed on to the appropriate staff
  • May request program materials to be ordered and will be responsible for tracking of expenses and budget
  • Perform other duties as assigned by the Program Services Director or other designate manager

Program

  • Ensure the programs are administered as per funding contracts
  • Providing direct supervision to Drop in Workers and After Care Team, ensuring that all rents are collected on time and delivered it to the Business Department in a timely manner, rent tracking sheet must be maintained, identifying vacancies and missing rents with the expectation that appropriate corrective measures be in place
  • Responsible in conjunction with Program Services Director to review new applicants to transitional housing that include in house and external applicants
  • Ensuring Drop in Staff are performing frequent visits to all on site transitional housing units
  • Maintain the drop in intake area to ensure all reporting forms are available
  • Ensure data integrity and daily HIFIS updates are completed
  • Participate in development, planning and coordination of Drop in and transitional activities
  • Responsible for cultivating community partnership that support Drop in and Transitional clients
  • Ensure client complaints are handled in accordance with SA policy and reported to Program Services Director in a timely manner
  • Ensure the proper maintenance and use of a computerized office system, and proper record keeping of the same in accordance with the Territorial Computer Usage Policy
  • Ensuring Restorative Approach is always used as part of our Progressive Behavioral Policy with clients, and provide coaching and support in this area
  • Ensure confidentiality and accuracy of client files
  • Enforce Policy and Procedures, Agency Rules and Expectations consistently
  • Attend and serve on committees as required
  • Provide oversight to the gathering and collation of data for the Ontario Government (H
