Executive Assistant
Reports to:
CEO**
Location: In person within the Waterloo Region
Organizational overview:
Reception House Waterloo Region is a non-profit organization that enables the successful resettlement of newly arrived refugees by providing temporary accommodation and orientation, assistance securing permanent housing, ongoing settlement and intensive case management services.
Main Responsibilities:
- Provides the CEO with daily assistance supporting administrative elements including taking meeting minutes, scheduling/ coordinating meetings and events
- Provides highlevel administrative support and assistance to the CEO, Board of Directors, and other Directors upon request.
- Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for senior staff.
- Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Performs additional duties as assigned by executives.
- Performs other related duties as assigned.
Qualifications:
- Bachelor's degree, ideally in Business Administration or related field preferred.
- At least three years of related experience required.
Required Skills and Abilities
- Advanced knowledge of Microsoft Office Suite and Sharepoint is critical.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a highpaced and at times stressful environment.
- Able to type minimum of 50 words per minute.
- Excellent interpersonal skills, client service and communication skills
- Ability to deal with confidential material and matters
- Fluency in oral and written English is ESSENTIAL
- Ability to work independently and effectively under pressure
- Excellent organizational skills and the ability to set priorities, plan and meet deadlines
- Must be eligible to work in Canada
Education and Experience:
- College diploma required; Bachelor's degree in Business Administration or related field preferred.
- At least three years of related experience required.
