Resource Development Administrative Assistant

CityKidz is seeking an energetic, organized and detail oriented Administrative Assistant to support the Resource Development Department.


Reporting to the Director of Development, the Resource Development Administrative Assistant will support the growth of Marketing & Communications and Fundraising functions, through administrative support to the department and the major gift program.

Responsibilities:


Resource Development Administration:

  • Support Monthly Giving: tracking and follow up with missed payments
  • Coordinate direct mailing campaigns ensure mailing list is completed, work with mail house to obtain quotes, provide documents for mailings and approve proofs
  • Provide monthly giving reports to manager on all resource development revenue lines
  • Set up campaign deadlines, track deadlines, coordinate mailing lists, creative, content & thank you letters
  • Create reports on direct marketing campaigns
  • Analyze data from etapestry reports, digital campaigns & donor calls
  • Provide regular reports on donor attrition & donor value attrition
  • Coordinate and submit all requisitions from the Resource Development team and track monthly expenses
  • Support Manager with general admin, filing & coordination of the department
  • Organize files and ensure consistency in filing systems
  • Respond to public inquiries

Major Gift Administration:

  • Create weekly, monthly, yearly and other caseload reports as needed
  • Enter caseload information into supporter database
  • Support the coordination of supporter touchpoints act as liaison between the Major Gift Officer and Content & Design Specialist to ensure fundraising tools are created on time
  • Support with with printing, coordinating and mailing touchpoints
  • Support the semiannual caseload renewal process by providing reports, updating and creating procedures and updating documents, FEI, touchpoint plans and database information
  • Update Donor Engagement Plans
  • Provide support in coordinating donor appreciation gifts and occasional appreciation events
  • Create and send invoices and follow up on gifts expected in
  • Other duties as required

Skills and Experience:

  • Strong administrative skills
  • Organized, detail oriented and able to prioritize work
  • Ability to work independently with moderate supervision and as part of a team
  • Strong ability to meet deadlines and prioritize work
  • Has a driver's license and regular access to a vehicle
  • Able to track, analyze and report on complex data
  • Able to troubleshoot errors and find causes and solutions
  • Strong Interpersonal and communication skills
  • Comfortable making calls to supporters, vendors, volunteers and participant guardians
  • College diploma in administration, marketing, fundraising or business administration
  • Experience in a non profit organization
  • 12 years experience in a similar role
