    Job Summary
    The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through research and education in primary health care, teaching family medicine residents and Dalhousie medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Research Operations Manager, the Administrative Assistant will provide administrative support to the Research Operations Manager, Research Director, and research faculty members in the Department of Family Medicine.

    Key Responsibilities
    • Manage the Director's schedule in Outlook, schedule meetings and appointments, follow-up with e-mails, and ensure the Director's awareness of daily commitments.
    • Relieve the Director and faculty members of routine research administrative matters such as formatting materials; distributing reminders regarding upcoming deadlines and priorities; maintaining paper and electronic files and research library materials; and arranging national and international travel.
    • Provide administrative support for research projects, including booking project and Research Committee meetings, taking minutes and following up on meeting decisions; and assisting with the production of manuscripts and educational materials for publication and presentations. Assist with updating Research Faculty Curriculum Vitae (CV's).
    • Support the financial management of the Department's research accounts by assisting in the preparation of invoices, cheque requisitions and travel reimbursement forms; and receiving and forwarding payments for deposit.
    • Serve as primary administrative contact for research and site representatives on pertinent research activities, deadlines etc.
    • Provide back-up secretarial support for other Departmental administrative positions as required.


    Note
    The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

    Required Qualifications
    • Business/Office Administration diploma with approximately three to five years' related work experience (or equivalent combination of training and experience).
    • Demonstrated excellent interpersonal and communication (verbal and written) skills.
    • Proven excellent organizational skills with a high level of competency in time management and multi-tasking.
    • Strong computer skills, including the demonstrated ability to learn new programs.
