We are looking for a
Administrative Assistant to work with our Hills of headwaters team to help us continue in our mission to serve our community with Kindness, Passion, Courage, and Teamwork

  • Reporting to the Executive Director of the HOH OHT, this role will be responsible for administration support of all aspects of the OHT. The Administrative Support will be responsible for supporting the Anchor Council, Collaborative Council and working groups. They will prepare meeting packages, record minutes, organize venues and support project work as needed. This role will also support the Communications and Engagement Lead, Project Manager, Executive Director and Co-Chairs of the OHT as needed.

The Administrative Support will work with both internal and external staff and will interact with all levels within the organization.

They will have no supervisory responsibilities.

Duties Include:


  • Monitors actual expenses to budget and explains any variances.
  • Participates in patient safety initiatives and takes action to address unsafe conditions and procedures to ensure a healthy and safe environment.
  • Organizes meetings and provides administrative support, including preparing agendas and meeting packages, recording, transcribing, and distributing minutes for the Anchor Council, Collaborative Council and Working Groups.
  • Organizes and schedules events such as meetings, workshops, or stakeholder engagement sessions.
  • Keeps track of action items from meetings.
  • Supports project work, initiatives, and engagement sessions, as needed.
  • Responds to general questions about OHT and connects individuals to team members as needed
  • Provides administrative support to all other OHT staff as required.
  • Find and schedule meeting/event venues.

Qualifications:


  • Post secondary education in business administration or related field or equivalent experience required.
  • Minimum two years of experience, preferably in the notforprofit sector.
  • Strong organizational skills including file management (both electronic and paper).
  • Ability to attend to multiple and conflicting priorities effectively.
  • Excellent communication and interpersonal skills (written, verbal) with a variety of stakeholders.
  • Ability to receive direction and feedback from multiple managers.
  • Comfort setting up meetings and events for large groups.
  • Proficiency in Microsoft Office products including Outlook, Teams, Sharepoint, Word, and Powerpoint.
  • Demonstrated problem solving and critical thinking skills.
  • Ability to work independently.
