Job Duties
- Provide direct administrative and office management support to the Director of Project Management and all other members of the Project Management department, as directed by verbal or written instruction.
- Assist Project Management staff in maintaining the entire lifecycle of the company's project portfolio, ranging from strategic planning initiatives to tactical activities.
- Assist the Director of Project Management with conducting costbenefit analyses, risk analyses, and ROI calculations to determine project feasibility.
- Adhere to established methodologies for project management.
- Assist in the tracking of all project costs to ensure completion within budget.
- Review and prepare all documents, reports and other correspondence materials for the Project Management team.
- Prepare draft reports, background documentation, and research.
- Review, evaluate and distribute all incoming and outgoing mail.
- Maintain daily appointment calendars of members of Project Management team.
- Complete and review all expense reports, invoices, and other relevant monetary documents.
- Assist with report and presentation preparation.
- Maintain a professional image and demeanour with all employees, management, executives and visitors at all times.
- Research and assist with RFP's and budget options for projects.
- First point of contact for any questions, concerns or suggestions for the Project Management department.
- Maintain daily appointments of all the Director of Project Management and other Project Management staff members.
- Prepare travel schedules, book travel arrangements, and make reservations for Project Management staff.
- Maintain and monitor office supply inventory levels and place orders as required.
- Maintain a high level of confidentiality in all interactions.
- Coordinate departmental office activities.
- Perform other duties as assigned.
Requirements:
- University degree in Business Administration, or an acceptable combination of education and progressively responsible experience.
- 2 years of direct work experience in an Administrative Assistant capacity.
- Previous experience in project management an asset.
- Strong knowledge of general office procedures.
- Able to write and format moderately complex correspondence, including memos, letters, etc.
- Professional, responsive, and positive work attitude is essential.
- Meticulous records maintenance skills with the ability to maintain filing systems and basic databases.
- Superior telephone manners and excellent verbal, written and interpersonal communication skills to communicate with all levels of the organization.
- Excellent writing skills, including proper spelling, grammar, and punctuation.
- High degree of resourcefulness, flexibility, and adaptability.
- Excellent teamwork and team building skills.
- Ability to interpret and implement company policies and procedures.
- Previous experience in handling confidential or sensitive information.
- Strong organizational, time management and multitasking skills.
- High level of sound and independent judgment, reasoning, and discretion.
- General mathematical and budgeting skills.
Work Conditions:
- Manual dexterity required to use desktop computer and peripherals.
- Interacts with clients/customers, employees, the Director of Project Management and other management staff and the public at large.
- Ability to attend and conduct presentations.
- Sit for extended periods.
- Overtime may be required.
- Travel may be required.
