JOB SUMMARY:

Under the direction of the Director, Finance the Payroll Associate performs payroll services for Menno Place.

In performing duties, the incumbent will follow Menno Place policies and procedures ensuring the provision of _Resident and Family Centred Care_ (RFCC) while safeguarding staff and residents.


This person is an integral member of the Menno Place team and is required to have a commitment to the vision, mission and values of Menno Place performing duties following Menno Place policies and procedures and ensuring safety for residents and staff.

This position requires teamwork, communication, and cooperation.

In performing duties, the Finance Associate will contribute to a positive and professional working environment, receiving instruction and feedback and cooperating with their supervisor and co-workers.

This person demonstrates excellent time management, critical thinking, numeracy, confidentiality and participates in continuous quality improvement of corporate services.


DUTIES & FUNCTIONS:


  • Administers payroll for one division of Menno Place, ensuring wages, accruals, and pay-outs are accurately calculated, processed, and issued in compliance with the _BC Employment Standards Act _and labour-management contracts.
  • Calculate all vacation time owing and manage all vacation discrepancies.
  • Respond to employee queries regarding payments and remittances issued.
  • Responsible to prepare and ensure timely payments of remittances, including the Pension Corporation, Receiver General, WorkSafe BC, etc.
  • Responsible to ensure accurate and timely reporting to government agencies for data submissions, such as HSCIS, Pension Corporation, WorkSafe BC, Records of Employment, payroll reports, and annual year-end payroll related reports.
  • Assists the Finance Team with financial analysis and reporting on monthly payroll statistics.
  • Assists in reconciling and balancing payroll related general ledger accounts to sub-accounts at month-end.
  • Responsible for the efficient use of the payroll software and recommends related software upgrades or process changes.
  • Assists the Finance Team in preparing for the annual audit and ensures all payroll accounts are reconciled.
  • Responsible to ensure accounting equipment/supplies/data is stored in a safe and efficient manner.
  • All duties to be performed in cooperation and with input from Payroll Coordinator for Menno Place.
  • Assists the Director, Finance in carrying out including assembling data required by external agencies or financial institutions.
  • Provides relief for team-mates including, but not limited to, the Payroll Coordinator, Finance Analyst, and Benefits Administrator.
  • Performs other related duties as may be required.

QUALIFICATIONS
Education, Training and Experience

  • Grade 12 diploma or equivalent
  • Accounting Certificate from a recognized postsecondary learning institution
  • Current Canadian Payroll Association Certification
  • Minimum two (02) years' recent* related accounting or finance experience or equivalent combination of education, training, and experience

  • Demonstrated advanced proficiency in Excel.

  • Information sourcing, sorting, and research skills.
  • Demonstrated working knowledge of computerized financial and accounting systems.

  • Works safely to reduce the risk of injury to self, coworkers, and residents.
  • Is alert to and promptly reports all actual or potentially hazardous situations to immediate supervisor.

  • Promptly reports personal injury to supervisor and seeks first aid as needed.
  • Participates in fire safety demonstrations and fire drills and knows the facility fire and disaster plan.
