(Contract length) 12-month contract - part time - 20 hours a week


As the Corporate Events Manager at the Chronic Pain Centre of Excellence for Canadian Veterans (CPCoE), you will bring your innovation and creativity to the role which is responsible for executing multiple in-person events from start to finish.

Event attendance ranges from people. The position is part-time with availability sometimes ranging outside traditional work hours.

As the main point of contact for the internal team, attendees, and external vendors, you will be responsible for selecting the venue and vendors, tracking attendance, booking accommodations, creating and producing meeting materials, collaborating with the internal team on execution, and ensuring all internal meeting needs are met.

In-person events will occur across Canada, requiring travel for the event itself and site tours leading up to the event.

It is anticipated that there will be two or three events during the one-year period.

The major events are a workshop for 130 people in Halifax, NS, in September 2024 and preparation for a similar event in Toronto, ON in June 2025.

Planning is already underway and venues have been booked for both locations. After a handover, the selected individual will continue preparations for the execution of the September event. A small 20-person event might be held in fall 2024.

(Responsibilities)

Reporting to the Director of Operations, the Corporate Events Manager's role includes:


  • Communications and coordination between internal meeting requests and external vendors.
  • Act as main point of contact for all event attendees.
  • Create, distribute, and track invites.
  • Conducting site tours of potential venues to determine the best fit for the meeting requirements.
  • Seek out vendors for all aspects of the event (entertainment, digital designers, print shops, and event favours).
  • Review and negotiate all external vendor contracts before forwarding to management for approval/signature (venue, food and beverage, audio and visual).
  • Track payment schedules with external vendors and internal accounting team.
  • Book accommodations based on attendance and room block deadlines.
  • Work closely with contracted travel agent or Office Manager to coordinate air travel.
  • Collaborate with internal meeting facilitators to identify specific requirements.
  • Provide weekly updates to internal team regarding progress for each event.
  • Create and distribute meeting's project plan, delegating roles and responsibilities to internal team members where it applies.
  • Ensure all deadlines are met within the internal team, venue, vendors and attendees.
  • Support the meeting facilitation team in completing other tasks related to the successful execution of the event.
  • Respond to attendees and employees in a timely manner due to the urgency of certain situations.
  • Other related tasks as required.

Qualifications:


  • Proven experience in event planning and execution, with a track record of successful events.
  • Formal education an asset.
  • Excellent organizational and project management skills.
  • Strong communication, interpersonal, and negotiation skills.
  • Ability to work independently, as well as part of a team.
  • Ability to work under pressure and handle multiple tasks simultaneously.
  • Proficiency in Microsoft Office and event planning software.
(Salary bracket) $50,000 to $60,000 commensurate with experience.

The CPCoE was established to enable research and help improve the well-being of Canadian Armed Forces (CAF) Veterans, and their families, living with chronic pain.

According to Government of Canada research, CAF Veterans are twice as likely to have chronic pain compared to the equivalent Canadian population.

Funded by Veterans Affairs Canada (VAC), the CPCoE is a not-for-profit organization and was launched in April 2020.
