The Opportunity
We are currently seeking
Executive Assistant to join our
Corporate Affairs team in
Toronto . This is a
full-time permanent position.

The role includes administration assistance on daily basis.

This can involve scheduling/organizing meetings, travel (domestic & international), visa requirements, vacation scheduling, filing, typing, mail/file distribution, invoice management, maintain contact with all offsite offices, liase with head office and other business locations.

Additionally, in this position you will

  • Frequently communicates with seniorlevel internal and external contacts and is regularly exposed to confidential data.
  • Provides and obtains information from other managers and directors or outside representatives.
  • Receives and screens telephone calls, letters, and/or visitors, answering routine questions and obtaining and providing information to save executive's time.
  • Schedules appointments and coordinates arrangements for meetings and conferences and travel arrangements (flights, car rentals, hotel bookings)
  • Organizes and maintains the Executive's correspondence and records, following up on pending matters with limited direction.
  • Drafts correspondence for Executive's final approval.
  • Prepares complex reports, and assists with gathering, summarizing, and analyzing data.
  • Processes invoices for payment into the SAP system and maintains invoice filing system. Ensures prompt payment to suppliers with agreed upon timelines. Investigate and resolve any issues arising.
  • May transcribes dictation of a highly technical and confidential nature.
  • Works independently with only general guidance on a variety of special projects.
  • Assists with budget management and support:
  • Report Corporate Affairs Budget and tracking
  • Budget management including ongoing review of retainers/memberships/tracking their utility/our use and leveraging of consultants and memberships.
  • Report monthly execution and forecast for the socioenvironmental expenses.
  • Develop area budget for the annual cycle, based on Vale Base Metals templates and timelines.

About You

Skills & Education**:

  • 57 years of relevant experience
  • Postsecondary degree/diploma in administrative or business studies is preferred.
