Policy Specialist
(40 hours/week)


Waterloo Office


The Policy Specialist will be responsible to support the Operations Manager in the coordination, management, and publication of organizational policy, forms, and related documents, as well as the maintenance and administration of the approved policy management software in place at Karis Disability Services.

The Policy Specialist supports the organization with clear and accessible information that promotes employee learning, growth, and achievement in Ontario and Saskatchewan.

The Policy Specialist will ensure that the language used in policy, forms, and resources respects the value of all people, is clear, consistent, respectful, and accessible while reflecting the Values, Vision, and Mission of Karis Disability Services.


Responsibilities:


  • Coordinate the policy revision process for Karis in the approved policy management software, from initial planning, workflow configuration, and publishing final policies.
  • Administer and maintain the approved policy management software, and other systems as required, with current policy documents, forms, and other documents (e.g., District and program specific documents), as well as the digital archive of organizational policies.
  • Proofread materials for accuracy, formatting, and completeness; provide feedback to improve consistency and effectiveness.
  • Develop communication plans and policy update tools to ensure that employees are aware of and understand changes.
  • Support Directors and Managers with policy and form revision process and timelines, and in using the approved policy management software.
  • Work with Districts and Shared Services Departments to identify future improvements to policy, forms, procedures, and related processes; develop recommendations and implement approved approaches.
  • Champion and promote employee engagement of the approved policy management software; influence leaders and employees through the intentional development of communications, tools and resources that support best practices and promote employee learning.
  • Analyze various collective agreements; in collaboration with Human Resources, develop internal mechanisms to track applicable Karis' policies for employees based on union representation, and assign attestation relevant to the terms of their employment.
  • Work collaboratively with policy owners and departments to propose and implement a mechanism for segmenting Karis' policies and forms from procedure and work instructions.
  • Investigate, recommend, and implement policy structures, formats, and/or templates that will advance the separation of policy from procedures and work instructions.
  • Coach and equip District teams and employees; serve as resource for employees working within the approved policy management system and respond to HelpDesk tickets as assigned.
  • Assist in managing the organization, collection and move of annual archived operational files from Districts.
  • Champion positive language in policy and related documentation that supports our service principles, Values, Vision, and Mission to promote the four core values: valuing people, serving others, fostering belonging, and celebrating gifts.

Requirements:


  • Oneyear previous work experience on the job and at least 3 years previous job experience.
  • University Degree or College equivalent in a related field.
  • Strong written and verbal communication skills, time management, problem solving and interpersonal skills.
  • Specialized analytical, research, report writing, software management, and presentation skills.
  • Knowledge of direct services, relevant legislation, and developmental services sector licensing requirements, as well as internal operational policies and procedures.
  • Manage multiple and competing demands and shows large degree of judgment and planning skills for completing projects.
