Front Office Coordinator - Edmonton, Canada - Marigold Infrastructure Partners DBJV
Description
The City of Edmonton selected Marigold Infrastructure Partners to design and build the 14-kilometre Valley Line West LRT project from downtown to Lewis Farms.
Construction has begun and will take five to six years to complete.Marigold is a design-build joint venture agreement between Colas and Parsons.
Position:
The Office Coordinator will be the first point of contact when visitors and employees enter our building.
You will provide a friendly and professional atmosphere, and work closely with the team to keep our days running smoothly.
Responsibilities:
Daily coverage of reception duties, ensuring a welcoming and professional environment
Handling administrative tasks like filing, coordinating mail and couriers, and preparing/distributing correspondence
Assisting in the coordination of meetings and events, including scheduling, booking resources, and making catering arrangements
Supporting the HR team with the onboarding process for new hires
Managing office supplies and equipment orders, coordinating office moves and installations
Assisting managers or project sites in preparing for new hire arrivals
Serving as a resource for general administrative inquiries and providing information to staff, contacts, and visitors
Carrying out a wide range of administrative and operational duties, such as contract review and archiving project files
Maintaining and troubleshooting A/V equipment in common areas, workrooms, meeting rooms, and boardrooms
Updating contact and distribution lists for the department or project
Performing general administrative tasks and clerical duties as needed
Preferred Qualifications:
1-3 years of experience in a similar administrative role
Previous experience in construction or a related industry would be an asset
Bilingual (French) skills would be an asset
Strong attention to detail and solid keyboarding skills
Ability to work independently and collaboratively as part of a team
Excellent verbal and written communication skills
Strong organizational and planning abilities, with problem-solving skills
Customer service focus and the ability to work well with others
Ability to identify and propose solutions for increased efficiency
Capable of following written procedures accurately
