We are looking for an administrative assistant to become part of our wealth management team and work with two high-integrity financial planners and one associate advisor.

This opening is for a full-time, in-office, position.

As the first point on client contact, the Client Experience Specialist takes on an administrative role within the office. Responsibilities are listed below.

As administrative assistant of the Waterloo Street office, you will work with Patrick Briscoe (
Bayswater Wealth Management) and Pat Magliaro (_
Magliaro Financial Planning_).


Responsibilities and Duties

In this position, your primary responsibilities include:

  • Manage calendars and schedule client meetings
  • Prepare paperwork for client meetings and process investment trades. This involves inputting client data on account forms, close review for accuracy, and frequent DocuSign use
  • Follow up of trades to ensure proper settlement
  • Maintain office filing system and processes
  • Maintain and update client information in our contact management system
  • Assist with intake and sending of income tax returns during tax season
  • Assist with client marketing: appreciation events, occasional newsletters, mailouts, etc
  • Provide exceptional customer service
  • Encouraging the generation of new ideas, approaches, and improvements to the office
  • Actively sharing knowledge and experience to enhance the development of all team members
  • Send, receive, and organize mail
  • Maintain office supplies and materials
  • Other duties required for overall maintenance of the office (e.g. water plants, ensure tidy workspace, offer clients refreshments)

Qualifications and Skills

We are looking for a quick learner, someone who is not intimidated by new challenges and the various tasks associated with the position.

Strong computer skills are a must.

  • High School or Post Secondary Education
  • Interest or experience in financial industry an asset
  • Existing administration experience an asset
  • High regard for confidentiality

  • High attention to detail, accuracy, and organization
  • Ability to multitask and respond to timesensitive deadlines
  • Police check

- $20-24/hr dependent on experience
