Description

The Manager bears the primary responsibility for ensuring the efficient operation of the clinics, providing support to staff, including associates and sub-contractors, and meeting the clinical, staffing, and operational needs in support and collaboration with the Regional Office Manager.


The Manager ought to promote a positive work culture in the office, supporting the Regional Manager to ensure that daily internal operations are met across offices, and providing receptionist and assistant support as required.


The Manager should strive to improve processes where necessary and work actively to participate in the success and growth of the clinics overall.

The responsibilities of the Manager include, but are not restricted to the following:

STAFF SUPERVISION

  • Oversees staffing and ensures that each staff member understands their job duties, company policies, and receives constructive feedback and training when necessary.
  • Provides support to the Regional Manager by acting as a liaison between the CEO, management, and staff for routine matters such as scheduling changes, time off, questions about policies and procedures, and special projects.
  • Acts as a liaison between associates and patients.
  • Respond to conflicts and provide conflict resolution.
  • Identifies and recognizes employees who have potential for career development and communicates this information to HR.
  • Assists the Regional Office Manager in maintaining staff schedules, ensuring that positions are appropriately covered in the case of an absent staff member, and aims to minimize employee overtime.
  • Monitors dental receptionists to ensure they are managing calls effectively, returning calls, and identifying training needs.
  • Participates in the recruitment process with Human Resources, identifies staffing needs in advance, and assists in onboarding, training, and offboarding employees when needed.

OPERATIONAL SUPERVISION

  • Assist the Regional Office Manager in overseeing production and expenditure.
  • Open and close the office as needed.
  • Ensure inventory control and support cost reductions.
  • Maintain patient data in compliance with regulations and company policies, ensuring that records are stored securely and in compliance with privacy and security regulations.
  • Maintain a high level of professionalism in the offices and motivate staff.
  • Maintain quality assurance with respect to dental procedures, customer service, sterilization techniques, and health standards. Ensure compliance with PHIPA, IPAC, and all relevant guidelines.
  • Represent the office at corporate and management meetings, where required.
  • Provide management and corporate reports where necessary (including, but not limited to, production summaries, A/R aging reports, writeoff/adjustment reports, collection/deposit reports, inventory counts, new patient reports, etc.).
  • Ensure the clinic is stocked and operational, communicating any needs to the Regional Office Manager.
  • Support marketing and promotional initiatives.
  • Take responsibility for the appearance and functionality of the office, ensuring a safe, professional, and clean environment.
  • Work with management across the company if assistance or insight is needed.

PATIENT EXPERIENCE

  • Sets the standard for effective communication with patients, responding promptly and appropriately to their needs and inquiries, and building relationships where possible.
  • Takes responsibility for ensuring the smooth and efficient flow of patients and addresses any situation that may be causing delays or interruptions in patient flow.
  • Manages patient scheduling and directs patient traffic flow. Ensures that new patient intake procedures are completed fully.
  • Presents treatment plans to patients as needed. Educates patients whenever possible and appropriate and ensures that all staff members are properly educating patients.
  • Resolves patient issues in compliance with company policies and procedures, healthcare regulations, and dental board standards.
