Procurement Coordinator

12 Month Full Time Contract

Ottawa, Ontario, Canada

Hybrid role
As the Procurement Coordinator you will play a key role in the administration of the procurement processes.

This includes tracking procurement activities, drafting agreements, managing first level communication to clients from the procurement mailbox and updating corporate systems.

Working closely with the Finance department, you will be responsible for managing the Accounts Payable (AP) mailbox, ensuring that all incoming invoices are reviewed, received, and processed for prompt payment.


What you'll do

  • Manage the Procurement, AP, and Expense Claim mailboxes by acknowledging & processing requests, triaging queries and flagging as needed to the Procurement Specialist and/or Finance Team
  • Review, code, and process invoices for payment including honorarium and expense claims
  • Process new vendor, staff and committee member setup and coding, banking and tax information, in Sage and Workplace
  • Responsible to file relevant documentation in SharePoint
  • Manage the process for purchase of materials and services (request, sourcing, price comparison, document creation, purchase orders, delivery tracking)
  • Work closely with internal stakeholders to understand their procurement needs
  • Create purchase orders in WorkPlace to send to vendors, and tracks through life cycle.
  • Manage the process related to contract and purchase order expirations to ensure timely renewals and extensions

What you need to succeed

Experience:


  • 23 years procurement administration experience

Technical Skills:


  • Strong skills working in Microsoft Office (Outlook, Word, Excel)
  • Strong communication skills (oral and written)
  • Experience working with SharePoint an asset
  • Knowledge of procurement processes an asset

  • Ability to coordinate multiple tasks and shift priorities quickly
  • Ability to exercise sound judgement and demonstrate professionalism

Education:


  • Some Post-Secondary Education in a relevant field Business, Accounting, Procurement, HR or relevant experience

Language:


  • Excellent oral and written communication skills in English; bilingualism in French is an asset
