Administrative Assistant - Operations to join our team


Position Overview:


Reporting to the Clinical Director, the
Administrative
Assistant - Operations provides proactive, comprehensive administrative support to the Clinical Director and a team of Clinical Managers (Primary Care Managers and QI Manager), including committee and project support.


The successful incumbent will have a detailed understanding of the PCN and its general operations and requires an individual who excels in handling many priorities at one time and thrives in a fast-paced work environment.

This role may require occasional evening work to accommodate providing after-hours meeting support.


Key Roles and Responsibilities:


  • Provides administrative and clerical support to Clinical Director and a team of Clinical Managers
  • Participates as an adjunct member of the Clinical Management Team, including assisting in scheduling and attending meetings, distributing meeting agendas and taking minutes.
  • Manages the Clinical Director's schedule.
  • Prioritizes competing needs; handles matter expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Writes correspondence and reports; develops agendas and presentation material or other communications for the Clinical Director
  • Provides administrative support for Clinical Managers' presentations or correspondence, as needed.
  • Liaises with other corporate team members, including the Executive Assistant to the Executive Director to support shared work, including maintenance of the membership database.
  • Provides support in meeting organization, minutes, and preparation of meeting reports for the Clinical Governance Committee, the Health and Safety Committee, and other Committees as needed.
  • Works with the Clinical Director and Clinical Management team to organize and track project planning, implementation, and completion. This may include the use of specific software and tools to organize and track work.
  • Completes expense reports and timesheets on behalf of the Clinical Director as required.
  • Ensures documents are kept updated and responds to requests for materials, supports digital file organization and storage for the Clinical Management team
  • Completes first drafts for written communications, which may be confidential.
  • Leads or participates on assigned projects by researching and summarizing topics on a variety of operational and other matters including preparing materials for meetings.
  • Continually supports the vision and mission of the Primary Care Network

Experience, Skills & Qualifications:


  • Postsecondary education in a related field
  • 3+ years' experience providing support to Executive/Senior Leaders, preferably in the public sector/notfor profit
  • PCN / Primary Care familiarity and experience is a definite asset
  • Exceptional computer skills, including Microsoft 365, Teams, and the entire Microsoft Office Suite
  • Familiarity with project management software tools and demonstrated ability to learn software or other technological tools quickly.
  • Excellent written and verbal communication and interpersonal skills; ability to work with clinical operations team members to achieve organizational goals.
  • Experience within a highly demanding work environment with expertise in prioritizing and managing competing priorities and deadlines.
  • Proven ability to handle confidential information with discretion and demonstrate the highest level of service and response.
  • Demonstrated proactive approach to problemsolving forwardlooking thinker, who actively seeks opportunities and proposes solutions.
  • Highly resourceful teamplayer, with the ability to also be effective independently.
  • Strong attention to detail.
  • Vehicle/license required; some travel may be required.
