Executive Assistant and Project Coordinator

JOB DESCRIPTION:


  • The Executive Assistant will provide administrative support to four Project Mangers and help with various organizational needs. The Executive Assistant's responsibilities include managing calendars, communication with staff and clients and project coordination.
  • To be successful in this role, you should be a proactive problem solver with exceptional communication skills and meticulous attention to detail, wellorganized, have great time management skills and be able to act without guidance when needed. The person will have previous experience working in an office environment, performing administrative duties, coordinating projects, and providing support to executive level personnel.
  • Keep the Project Manager's calendar up to date, including adding events, rescheduling appointments, and providing daily briefings.
  • Create, manage, and maintain work schedules.
  • Liaise between project managers, project coordinators, estimators, onsite workers, and clients.
  • Provide comprehensive and highquality administrative support services.
  • Communicate and report on project status.
  • Continually assess potential delays affecting project deadlines and highlighting key issues to the Project Managers.
  • Keep important information and documents organized physically and electronically.
  • Answer all incoming calls, this will require answering multiple lines placing some calls on hold and learning to prioritize the order in which they need to be addressed.
  • Manage last minute scheduling changes.
  • Contribute to the backup of files for invoicing.

JOB REQUIREMENTS:


  • Minimum of 2 years' experience in an Executive Assistant.
  • Advanced Microsoft Office skills, specifically in Word, Excel, Google Sheets, and Outlook.
  • Strong logistics and organizational skills.
  • Ability to perform efficiently with competing demands and to prioritize tasks.
  • Ability to use own initiative and pay close attention to detail.
  • Ability to work within a team or independently as needed.
  • Proven project management skills with the ability to work closely with internal staff in addition to external clients.
  • Upbeat, positive, cando attitude and creative problemsolving skills.
  • Excellent communication skills.
  • Proactive, efficient and a good organizer.
  • Used to working in a changing environment.
  • Organized, and discreet while being proficient within a fast paced and change driven environment.
