About the role

SUMMARY:


Reporting into the Director, Ottawa Operations & Security, the Operations Coordinator is responsible for providing Operational support for the Ottawa branch.

The incumbent will manage the payroll administration for consultant assignments, assist with contract management and other administrative tasks to support the Ottawa Operations team.

Duties must adhere to company policies and procedures.


What you'll be doing

ESSENTIAL DUTIES & RESPONSIBILITIES:


Operations Support (70%)

  • Manage PeopleNet dashboard and monitor submission of timesheets/invoices by consultants.
  • Follow up with consultants for weekly and monthly timesheet submission and ensure that each consultant submits a billablehours timesheet, Paid Time-Off Timesheet or Holiday Timesheet by running the appropriate PeopleNet or VMS tool reports. Submit zerohour timesheets, when necessary.
  • Assist the Back Office with correcting timesheets or billing/invoice issues as requested.
  • Submit payroll adjustment and manual upload forms to the Payroll Specialists as required.
  • Review Payroll reports to ensure all timesheets have been processed and create missing timesheet spreadsheet for consultants who did not submit zero hours.
  • Management of the Ott-Consultants inbox and Modis Ottawa inbox.
  • Manages, codes and uploads all Branch invoices for approval in the Catalyst tool for payment by Accounts Payable.
  • Responsible for daily updating of the Ottawa Masterfile with consultant assignment data.
  • Assist the Director with processing of consultant expense claims as required.

Contract Administration (30%)

  • Review all incoming contracts and flag any reporting requirements; maintain tracking spreadsheet of all large contracts and ensure amendments are signed and filed, end dates are noted, and insurance certificates up to date and filed.
  • Manage the electronic filing of all client and consultant contracts and related documents.
  • Ensure client contract documents are signed and returned to BDMs for processing. Review and verify contracts reference the correct SO/SA #.
  • Ongoing cleanup of existing contract repository as required.
  • Review activity report on a biweekly basis and alert BDM/RDM to any consultants with few days remaining.

About you

MINIMUM EDUCATION & EXPERIENCE REQUIREMENTS:


EDUCATION & EXPERIENCE:


  • 23+ years' work experience, some of which must have been in an administrative capacity, preferably within a similar industry Completion of University or Community College preferred
  • Must be able to obtain minimum Reliability level Security Clearance
  • Experience with payroll, invoicing or records management a plus.
  • Requires intermediate to high level computer literacy skills including with Excel, Word and SharePoint
  • Familiarity with applicant tracking tools, sales tools and/or job boards (e.g. Bullhorn, Fieldglass, Beeline, IQNavigator) is nice to have.
