Position Summary


Under the direction of the Director, Donor and Volunteer Engagement, provide effective and efficient project management and complex administration in support of the Campaign Cabinet, along with support of other Volunteer Partnerships activities.

Primary Responsibilities

  • Play an active role in ensuring optimization of the Campaign Cabinet. Act as project manager of the Campaign Cabinet to ensure that all extremely high level deliverables are met in preparation of, during and post Cabinet meetings.
  • Partner with the Director, Donor and Volunteer Engagement to schedule, plan and create content for committee meetings. This includes establishing and adhering to a meeting preparation timeline.
  • Work in close collaboration with the Assistant Vice-Principal, Development and Volunteer Partnerships, the Director, Donor and Volunteer Engagement, and the Volunteer Partnerships team, as well as the appropriate administrative staff to ensure that all extremely high level deliverables are met in preparation of, during and post the Cabinet meetings.
  • Assist with the identification of meeting support materials (eg. preread materials). Develope toolkits and additional resources as required.
  • Consult with the appropriate university colleagues to ensure that all materials included on a regular basis are secured (eg. annual reports and/or relevant content).
  • Implement and ensure quality control. Review all documentation and suggest strategic edits prior to obtaining final approvals.
  • Manage distribution of meeting materials, file storage and appropriate updates to the James database.
  • Research and maintain bios and contact information of Committee Members.
  • May be required to attend and take minutes at highlevel strategic meetings.
  • Ensure appropriate followup on action items stemming from meetings. Work closely with colleagues to ensure that processes are being followed related to Cabinet members (including NDAs). Ensure that Faculty colleagues are keeping James current in reflecting current FAB members as well as updating the end of a member's service on the Cabinet.
  • Oversee event logistics to ensure achievement of objectives.
  • Prepare strategic briefings.
  • In conjunction with the Assistant Vice-Principal, Development and Volunteer Partnerships and the Director, Donor and Volunteer Engagement, maintain engagement with Committee members in between meetings. Ensure open communication lines are maintained with all stakeholders both internal and external to McGill.
  • Maintain an indepth understanding of the processes of the Volunteer Partnerships unit and best practices in the field.
  • Provide support and contribute to the objectives of the Donor and Volunteer Engagement team as required.
  • Perform other related duties as required.
Other Qualifying Skills and Abilities

  • Bachelor's Degree preferred.
  • Experience in an academic/higher education or foundation work environment is an asset.
  • Experience in the advancement field acting as a seasoned administrator with a proven ability to manage complex, multifaceted mandates.
  • Proven ability to work autonomously and as part of a team including senior executives, senior university administrators and prominent donors/volunteers.
  • Flexible and adaptable with a demonstrated ability to work in a fastpaced environment, carry on multiple projects within the same timeframe, and to adapt and be flexible to changing circumstances.
  • Demonstrated advanced organizational, critical thinking and analytical skills, with proven ability to effectively establish priorities, negotiate and problem solve with excellent attention to detail and accuracy.
  • Must be tenacious, resultsdriven and a selfstarter, and highly motivated, with a demonstrated ability to build constructive and effective relationships.
  • Highly proficient in a PC environment, including advanced Microsoft Word, Excel, PowerPoint and Outlook.
  • Strong verbal and written presentation and communication skills. Demonstrated ability to draft, decipher and edit complex briefings. Experience working with stewardship communications is an asset.
  • High degree of discretion with a proven track record of work with sensitive and confidential information.
  • Knowledge of French and English. McGill University is an Englishlanguage university where day to day duties may require English communication both verbally and in writing.
