Position Summary


The Donor Relations Officer is to support the Open Doors - Open Minds campaign while working within the broader team of Fund Development and Alumni Engagement (FDAE), to promote and enhance relationships with the donors, sponsors, and prospects of Bow Valley College.


The primary function of this role is to assist the team in increasing donor and sponsor revenue for institutional priorities.

This role will support campaign activities and the activities carried out by the FDAE department.

With a donor centric mindset and passion for philanthropy, you'll bring knowledge of stewardship and recognizing all donors.

Administrative acumen for tracking student awards, processing gifts, ensuring accurate entry of database information, and supporting stewardship activities and events.

Preference will be given to those who possess events, stewardship, campaign, and alumni experience.


Position responsibilities and accountabilities include but are not limited to:


Donors, Campaign Activities, Stewardship Activities, and other Initiatives:


  • Engage donors as the primary point of contact, collaborating with the team to acknowledge and foster their support.
  • Work closely with the FDAE team to compile stewardship reporting and donor communications materials, liaising with various departments to track and report on donated funds.
  • Collaborate with the Campaign Manager on stewardship practices related to campaigns, donorfunded projects, student awards, and financial needs bursaries.
  • Facilitate information for donor recognition events and stewardship purposes, working alongside colleagues to compile donor information for reports, briefings, naming agreements, and engagement processes.
  • Communicate with donors, process donations, resolve issues, and conduct regular thankyou phone calls to enhance donor relationships.
  • Assist in effective gift acceptance and stewardship, providing necessary letters, invitations, and benefits in line with campaign and annual recognition guidelines.
  • Collaborate with internal and external partners to cultivate and steward current and potential donors, supporting fund development and campaign activities.
  • Support prospect research to identify potential prospects and maintain donor activity, database entries, and relationships.
  • Work with the Campaign Manager to develop and activate donor stewardship plans, contributing to the planning and execution of campaign events and annual initiatives.
  • Recognize and steward donors through social media platforms

Data Support:


  • Manage stewardship invitations and RSVPs in Cvent and Mailchimp for donor and alumni initiatives, including events like the Premier's Scholarship Luncheon and Celebrating Student Futures.
  • Utilize College systems with proficiency, including the Student Information System, Fluid Review, and Agresso, for information retrieval.
  • Manage Raiser's Edge for gift processing, including entering gifts, generating receipts, and providing acknowledgments.
  • Compile donor information for briefing materials and other engagement purposes.
  • Ensure ongoing accuracy of information on various software and websites.

Administrative Support:


  • Process financial and administrative forms, schedule meetings, and perform administrative functions for the Director of Fund Development and Alumni Engagement and Campaign Manager.
  • Prepare terms of reference for donorfunded student awards and navigate administrative processes for award establishment and tracking.
  • Maintain organization of paper and electronic files and records.

Required qualifications:


  • Diploma in Business/Office Administration and/or Fund Development

  • 12 years of related experience.
  • An equivalent combination of directly related education and experience may be considered.
  • If your education was received internationally we will require you provide an international education assessment through IQAS, WES, or one of the other nationally designated organizations upon hire
