Administrative Assistant

Part-Time (30 hours per week)

Spraggs Law, one of Coquitlam's premier law firms, currently has an opening for a Part-Time Administrative Assistant (30 hours) For 50 years, we have served the people of the Tri-Cities, delivering results that meet their needs.

We balance legal skill, efficiency, and client satisfaction to help our clients get access to justice and exceptional results. We work in teams comprised of legal assistants, a claims manager/paralegal, and a lawyer.

A claim team helps a client through the entire process - from choosing Spraggs Law to reaching a final settlement or judgment.

Position Summary
Within this collaborative model, you are responsible for carrying out the administrative tasks required to effectively manage a claim.

Through regular meetings and check-ins with your team, you are provided with direction on tasks that need to be accomplished.

As an administrative assistant you will spend most of your time:

  • Completing File Room tasks including:
  • Preparing incoming and outgoing mail for distribution
  • Sorting and scanning incoming and outgoing mail
  • Accurately and appropriately filing correspondence, invoices, receipts, etc.
  • Locating filed materials upon request, ensuring materials are only given to authorized users
  • Using standardized filing methods and procedures
  • Keeping accurate and complete records and forms for filed items
  • Answering questions about records and files
  • Adding new material to files and records
  • Creating new files and records as necessary
  • Closing files and transferring them to inactive storage according to file maintenance/legal guidelines
  • Opening files (documentation management)
  • Reception/phone assistance and coverage
  • Communicating with claimrelated vendors
  • Assisting in trial preparation
  • Simple overflow Legal Assistant tasks such as Records followup, client reminders, etc.
  • Other responsibilities and directives as assigned

Qualifications
We think you are probably a student or administrative assistant with aspirations of an exciting career. You have a strong attention to detail and you are able to effectively prioritize tasks.

  • One year of experience with administrative tasks and duties,
  • A pragmatic and solutionsoriented approach to problem solving,
  • Effective organization and timemanagement skills,
  • Experience in a law firm is not a requirement, but it is an asset.
As you'd expect, you need effective interpersonal and communication skills to be successful in our team-based collaborative model.
