Job Summary

The Executive Assistant provides direct strategic planning support to the Regional President. They contribute to the overall regional performance by supporting the Regional President to achieve business goals including New Client Acquisition, enhancing our ability to acquire and deepen client relationships. Works collaboratively with the Regional President on executing effective daily routines and follows up on action items, maintains calendars, coordinates travel arrangements, maintains files, prepares correspondence and other presentation materials. You are the face of RBC in the regional office who liaisons with business partners, community COIs, clients and employees to research and respond to general inquiries and direct incoming communications as required.

What will you do?

  • Manage and maintain executive calendars, coordinate meetings/conferences, ensure all materials/packages, and catering requirements are provided
  • For multichannels develop communications, meeting/conference materials, forms, documents, presentations and spreadsheets
  • Coordinate all requirements, maintain appropriate records in managing the team; including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the executive team
  • Organize quarterly town halls, employee recognition celebrations, and other team events
  • Maintain global distribution list and distributes groupwide communications
  • Raise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organization
  • Daily/Weekly preparation with the Regional President for all calendar items, optimizing calendar bookings to maximize in office and travel schedules.
  • Contributes to proactive problem resolution and prevention by taking ownership and accountability at first point of contact, escalating concerns as required.

  • Excellent interpersonal, communication (written and verbal) skills with the ability to work with all levels of management and staff
  • A selfstarter with the ability to take initiative, function independently, and work as part of a team
  • Ability to handle sensitive and confidential information with discretion
  • Superior attention to detail, calm under pressure and confidence
  • Innate ability to develop and maintain constructive and cooperative working relationships with individuals at all levels of the organization
  • A high level of organizational awareness and ability to anticipate and respond to regional business routines
  • Effective time management and ability to prioritize daily tasks

  • Professionalism, initiative, enthusiasm, energy, and a sense of urgency
  • Thrives in a fast paced environment
  • 4+ years of Financial industry Executive Admin experience
