International, Immigrant and Refugee Student Services (IIRSS) is a student services department that provides comprehensive supports to international, immigrant and refugee students at The University of Winnipeg.
During their studies, IIRSS provides tailored academic and immigration advising, registration assistance, social-cultural activities, tutoring and community outreach activities to assist international, immigrant and refugee students in their transition to Canada and to the University.
The IIRSS Assistant/Events Specialist is a full-time term position. This position is a key liaison between the student population and the specialists in the department. They are the first point of contact for all inquiries, and then either resolve the issue, or triage it to senior staff.
They are also responsible for identifying, organizing and implementing the many sociocultural and recreational activities that the department organizes for students, and play a key role in communicating department news to the IIRSS student population.
Responsibilities:
- Provides assistance, advice and service to students covering a wide range of topics, including but not limited to: travelling to Canada and preparing for studies, International Welcome Day, health insurance and introduction to the Canadian medical system, registration, examinations, convocation, scholarships and bursaries, confirmation of enrolments, finding housing, banking and cell phone providers, and campus community services.
- Provides general information on IIRSS program policies.
- Guides students to develop solution focused action plans such as finding the nearest walkin clinic/hospital/dentist, submitting health insurance claims, opening a bank account, etc.
- Promotes the Mentor and Tutor programs to students and the university community.
- Requests, receives and stocks pertinent publications, forms and other resource materials in IIRSS.
- Responsible for monitoring the IIRSS Lounge.
- Works with IIRSS Administrator and Coordinator to ensure the IIRSS student body is informed about departmental activities, important announcements that affect their studies and/or wellbeing, event invitations, and other important communications. This includes writing content for the monthly newsletter, drafting announcements and instructions for students, creating promotional graphics, invitations and posters and responding to followup inquiries.
- Maintains regular communication with mentors, mentees, tutors, and the IRSS volunteer group: surveying them about potential activities, planning feedback sessions and surveys each term regarding service delivery, events and opportunities, and compiles this information for the Coordinator and Director, providing associated recommendations.
- Compiles data and stats and maintains departmental summary reports and databases.
- Researches and provides recommendations for suitable events that align with department goals and student initiatives.
- Regularly surveys IIRSS stakeholders for new ideas on events, initiatives and opportunities for improved services and to generate and develop ideas for sociocultural and other events to engage students.
- Under the direction of the Coordinator, plans and executes special events hosted by IIRSS, from start to finish, managing staff and volunteers.
- Proposes an overall budget for each event for approval, outlines expected costs and tracks expenses to ensure the event falls within the approved budget.
- Develops marketing and promotional materials to raise awareness of events.
- Manages event registration, ticketing, and payment processes and ensures timely and accurate communication with attendees; manages RSVPs and provides regular updates to Coordinator, flagging issues such as capacity (over/under), unaccommodated requests (like dietary or cultural restrictions), etc., along with recommended solutions
- Maintains detailed event documentation. Handles postevent evaluations and analysis to assess the success of events and identify areas for improvement.
- Fully responsible for the coordination of the Airport Reception Program, which arranges airport pickups for firsttime international students at UWinnipeg at the start of each term.
- Monitors requests for airport pickups and communicates with incoming students confirm eligibility, assign a driver, monitor for schedule changes, etc.
- Coordinates with Winnipeg Airport to host welcome tables during the start of Fall term.
- Ensures there are adequate supplies for airport reception program and that the vehicles are fully stocked each term.
- Being available after hours for last minute changes, flight delays and pickups during airport reception periods.
