    We're looking for a driven, resourceful, and motivated candidate for the Facilities Assistant Co-op position. In this role, the Facilities Co-op will assist our Facilities Manager in creating an exceptional employee experience by maintaining a pleasant work environment. You will be responsible for maintaining high levels of organizational effectiveness, communication, and safety across multiple office locations. You are motivated by making an impact on your workplace and you thrive on challenging and rewarding problems. Your primary responsibilities will be:
  • Maintain general upkeep and oversee the cleanliness of the office. If you see something wrong; fix it, clean it.
  • Main point of contact for office issues/challenges; monitor Slack channels, JIRA tickets, and reply to general information requests with accurate information
  • Assist with the coordination and oversight of repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance
  • Manage/Maintain the office snack/coffee program at all office locations
  • External/Internal mail distribution between locations
  • Maintain/Manage stock levels at multiple locations: (. Office/Janitorial/Coffee Supplies
  • Assist with onsite supervision of HVAC, electrical, lighting, and plumbing contractors at all offices
  • Inspect the offices on a regular basis to determine the need for repairs or renovations
  • Communicate with cleaning vendors to ensure the clean up of common areas and furniture, and coordinate specialized intensive cleaning requests as necessary
  • Monitor and maintain equipment owned and operated within our offices
  • Maintain the seating plans and coordinate desk allocations when required for internal role changes, new hires, and employee departures
  • Assist with internal/inter-office moves and expansions such as moving bins, labels, coordinating with movers, coordinating relocation deficiencies, special requests.
  • Perform other administrative tasks requested by management
  • Requirements:
  • Must have access to a vehicle to drive between office locations
  • Currently enrolled in, or having completed, an applicable program at an accredited college
  • Good interpersonal skills with the ability to communicate effectively; both oral and written
  • Self-motivated with the ability to function independently and as part of a team
  • Highly proficient with Microsoft Office (including MS Word, Excel, Access, Outlook, PowerPoint,)
  • High attention to detail and data accuracy with strict adherence to policies and handling of confidential information
  • Availability to work 40 hours per week with a typical work week being Monday through Friday, 8am - 4pm
  • Ability to lift up to 50 lbs
