Summary:

Under the supervision of the Service Delivery Manager, the Program Supervisor is responsible for the daily guidance to the Career Development Practitioner and Youth Worker staff and assists with the operation of service delivery throughout the agency.

The Program Supervisor plays a critical role in the organization and will have responsibility for scheduling and supervising front line staff and for organizing and coordinating activities involved with service delivery.


MAJOR TASKS WILL INCLUDE BUT NOT BE LIMITED TO THE FOLLOWING:

  • Develop reports on a weekly, monthly, or quarterly schedule

Daily Responsibilities

  • Retrieve daily attendance callins
  • Post in Leadership calendars
  • Utilizing calendars to backfill any scheduled staff duties due to absences
  • Provide coaching, support, supervision, and guidance to staff so they may reach their full potential

Weekly Reports:


  • Intake (Case Activity Report) Exits, and Caseloads

Monthly Reports and Responsibilities

  • Negatives outcomes and inactive files CaMS
  • Highlight of files open more than 90 days aggregate to management list to Leadership Team
  • Monitor 15b report
  • PWD, OW, Suitability indicators etc
  • Produce staff and workshop schedules ensure balanced caseloads
  • Schedule staff to ensure appropriate coverage Monthly RI Schedule, adjusts work schedule, with approval of Service Delivery Manager to meet the needs of our clients
  • Provide Aggregate data of number of client contacts per Career Development Practitioner
  • Meet with unit CDP and YW Leads to review and discuss unit updates and areas of improvement
  • Meet with CDP/Outreach Coordinator for updates on Nipigon and surrounding area ensuring workload is balanced.
  • Monthly performance reviews with staff oneonone

Quarterly - Gather information for managers for quarterly reviews.

  • Ongoing, Identify issues from previous agency audits that require ongoing and or periodic checks ensure issues are addressed
  • Work with Service Delivery Manager to determine mitigation strategies
  • Maintain expertise in agency data management systems
  • Perform regular file audits (client and compare to CaMS in order to ensure data integrity
  • Monitor data entry into all databases (Performance Management Tool, CaMS, intake spreadsheet) to ensure timely and accurate data entry
  • Provide dashboard information to management and research data as required to support program monitoring, reporting which will assist management with proposal writing
  • Train Career Development Practitioner and Youth Workers related to quality control
  • Develop and maintain constructive and cooperative working relationships with others, including clients, staff and other members of the Leadership Team
  • Supervise Career Development Practitioner and Youth Worker staff and assist with the daily operations of the department
  • Provide coaching and mentoring to front line staff
  • Oversee Career Development Practitioner and Youth Worker staff and assist with the daily operations of the department and bring any issues to the Service Delivery Manager and Leadership meetings
  • Assist with Workshop schedules and planning with/for Youth Workers
  • Approve Career Development Practitioner and Youth Worker time off requests and vacations
  • Review & Monitor Placement Agreement, sign off Placement Matrix
  • Demonstrate a clear understanding of programs delivered and labour market information
  • Identify gaps in service and contribute to planning activities to address
  • Organize and set priorities for department to meet critical deadlines with a minimum of direction
  • Follows collective agreement and other applicable legislation
  • Maintain confidentiality regarding sensitive information

Other duties as assigned by the Service Delivery Manager and/or Executive Director.

Job Related Qualifications:


  • Postsecondary education preferred
  • Experience supervising employees in a social services setting preferred.
  • Knowledge of local labour market information
  • Understanding of cultural needs of diverse ethnic and socio economic populations.
  • Ability to coordinate diverse activities
  • Ability to communicate effectively in writing and orally in order to convey information, in a manner consistent with job functions
  • Familiarity with statistical reporting and analysis
  • Familiar working in a unionized environment and working with a collective agreement

Job Types:
