Responsibilities:

The coordinator provides day-to-day operational support for the Centre and Lab's activities including teaching, research, and outreach. The incumbent is responsible to provide administrative, logistic and organizational support for both the Centre and the Lab.


What You'll Do - Your Key Responsibilities and Duties

1. Logistical and Administrative Support - 30%**- Track and organize monthly spending reports

  • Collect and submit student hours to payroll
  • Submit vendor invoices and coordinate payment with Ivey Finance
  • Oversee room bookings and scheduling for Centre/Lab activities and meetings
  • Administering key requisitions, supply ordering, phone directory, internal mailing lists

2. Event Planning - 30%**- Collaborate with Ivey events, marketing and communications, as well as event participants to roll out both virtual and in-person events


3. Outreach - 20%**- Liaise with internal and external stakeholders for research projects, meetings and events

  • Oversee the Centre/Lab's contact lists
  • Coordinate meetings with internal and external stakeholders

4. Communications - 15%**- Responsible for updates to the Centre's website

  • Collect and organize information for research briefs and reports

5. Other activities as assigned by the Director - 5%**- Assist and support team members when required


What You Have - The Knowledge, Skills, and Abilities

Education & Experience

  • Community College Diploma in an administrative field
  • 1 year of experience in office administration in a client facing environment

Skills & Abilities

  • Proven ability and natural inclination to interact professionally
  • Strong written and verbal communication skills
  • Selfmotivated multitasker with strong organizational skills
  • Positive, outgoing attitude
  • Demonstrated ability to work independently, take initiative and follow through on work assignments
  • Strong computer skills with Microsoft Office Suite
  • Demonstrated ability to use social media platforms to share information
  • Knowledge of general office and UWO procedures (including website and records management) considered an asset
