Accounts Payable and Office Coordinator - 14 Month fixed term Contract**Reports to: Financial Controller


Location:
Vancouver, BC


COBS Bread is looking for an enthusiastic, organized and adaptable self-starter to fill the role of an
AP and Office Coordinator for our Downtown Vancouver Support office.

This role will be responsible for a full-cycle accounts payable process, various reconciliations, expense processing and vendor communications as well as creating a great first impression for clients and customers when overseeing the reception area.


Responsibilities includes:


  • Coordinating full cycle accounts payable responsibilities such as processing invoices, maintaining the AP manuals, corporate card program management and completing monthly financial reports
  • Ensuring company finances are accurate and up to date where vendors and suppliers are paid on a timely manner
  • Liaising with the Accountant on month end reporting items and weekly cash flow requirements
  • Provide administrative support to the Executive Teams and various departments such as organizing couriers, managing reports and customer feedback inquiries
  • Coordinate invitations and meals for bimonthly staff meeting and playing an active role in the Social Committee to plan fun and engaging events for staff in the office, remotely or offsite
  • Attend and take minutes and summarize action items as required at meetings and distribute to the respective team(s) in a timely manner
  • Act as the local contact for COBS insurance program including issue of certificates, annual billing and landlord queries
  • Be the point person to liaise any communication between the landlord/building maintenance to the staff
  • Participate in the Health and Safety Committee to ensure office is equipped with safety measure
  • Oversee the cleanliness of the office kitchen while managing the office lunch program and ordering office supplies
  • Other duties as assigned

Requirements:


What You Bring to the Table

  • Minimum 2 years' accounts payable work experience or combination of accounts payable and office administration experience
  • Experience in basic accounts payable and data processing skills including handling petty cash, credit cards and expenses
  • Adept in MS Office, including Outlook, Work and Excel as well as being comfortable with other computer systems
  • Demonstrate a strong, professional customer service focus
  • Detail oriented, strong organizational skills, and ability to multitask while meeting tight deadlines
  • A proactive work approach demonstrating a high level of initiative
  • Exceptional communication skills, both oral and written
  • Experience with basic accounting and managing banking processes is an asset
