POSITION

ACCOUNTS PAYABLE ADMINISTRATOR
Primarily responsible for the processing of Society expenses on a timely basis. Reconciliations of accounts, preparation of reports and development of annual budget. Performs other Accounts Payable duties as required.


MAJOR RESPONSIBILITIES

  • Performs threeway matching, ensures that purchase was authorized, goods/services were received and agrees to invoices.
  • Verifies monthly boarding rate payments and other payments generated by the system and billings received. Codes, enters and validates authorized boarding and other expenses and prepares batches for payment.
  • Balances payment batches to payment summary and ensures no issue arises during payment processing.
  • Handles, records and tracks any discrepancies found. Communicates discrepancies with case workers/supervisors that require their attention, authorization and resolution.
  • Enters and validates any necessary adjustments in systems and prepares batches for payment related to such discrepancies.
  • Prepares any necessary journal entries such as but not limited to accruals, adjustments and corrections.
  • Reconciles assigned balance sheet accounts on a monthly basis.
  • Prepares various payable reports such as but not limited to vendor history and boarding detailed reports.
  • Prepares statistical information related to days in care, boarding fees and other types of expenses to support the development of Society annual budget.
  • Responds to payment inquiries in a timely and professional manner.
  • Maintains branch petty cash; issues and validates T.T.C. fare media (e.g. tokens).
  • Performs other duties and backup as required from time to time.
  • Acts in accordance with and incorporates Society's Code of Ethics, Confidentiality, Anti-Oppression/Anti-Racism, Harassment & Discrimination policies, etc.
  • Complies with Society's financial policies and procedures.
  • Works in a safe manner in accordance with the Society's health and safety policies and procedures and all relevant legislations.

QUALIFICATIONS

  • Education and Experience
  • Completion of a minimum of 2 years' postsecondary program, diploma or degree with specialty in Accounting, and
  • Two years of recent relevant experience in accounting field or in stated in the major responsibilities.
  • Knowledge and Skills
  • Demonstrated ability to handle large volume of work while maintaining a high level of accuracy and meet strict deadlines.
  • Attention to detail and problem solving skills.
  • Ability to use sound judgment in consideration of financial resources.
  • Flexibility and willingness to perform a variety of support tasks.
  • Developed interpersonal, customer service skills to work cooperatively with coworkers and stakeholders.
