Walkerton Clean Water Centre is looking for a professional Full Time Permanent Accounting and Administrative Associate

Purpose of Position


To contribute to the operations of the Finance & Administration department by performing accounts receivable and payable functions, assisting in the Centre's procurement processes, and performing other administrative functions.


Key Responsibilities

  • Contributes to the Centre's accounting and financial operations by completing accounts payable and receivable functions, preparing quarterly and annual reports, preparing purchase orders, work orders and processing financial transactions such as vendor payments and employee expenses.
  • Provides project management support and coordinates adherence to procurement policies, directives and procedures. Acts as a liaison between contractors, vendors, Ministries and Centre staff.
  • Performs other administrative functions including maintaining central department files, review of insurance and procurement policies, producing reports as required.
  • Provides facility support to the F&A Department including daily opening and closing routines for the building and assisting with maintenance of the Centre's fleet of vehicles.
  • Acts as backup for Accounting & Facility Associate, Administrative Associate and for the Procurement aspect of the Business Analyst position.
Additional duties may be assigned at the discretion of the position Manager.

Knowledge, Education and Training
A minimum 2-year college diploma in Accounting or a related business program.

  • Salary range listed may not be most current. For most current salary range, see the Ladder Chart in the Administration folder on shared drive.
    Weekend work may be required on occasion.

Experience
A minimum of three years previous accounting-related experience. Some experience with public sector procurement processes would be an asset.

The incumbent must have experience with financial accounting system software, (e.g., QuickBooks). Strong attention to detail to ensure proper handling of transactions. Good organizational skills are necessary to prioritize duties and meet important deadlines.


Strong and professional communication and customer service skills are necessary to ensure positive internal communication and to facilitate successful external correspondence with customers, vendors, contractors and ministry staff.

Effective teamwork skills and the ability to work independently are required.

An equivalent combination of education and experience would be considered.


Decision-Making
This position will require some decision-making as it pertains to cheque runs, and invoicing. Involves recording of data such as entry of purchase orders into financial reporting software.


Ingenuity and Creativity


This position will contribute ideas and suggestions for revising procedures such as training for staff on accounting processes and suggesting updates to accounting guidelines (in line with government updates).


Impact of Action
This position must ensure organization within department processes to prevent delays (e.g. processing of purchase orders, follow-up on payables) and inefficiencies. This position works collaboratively with multiple departments.

Organization and strong attention to detail will be key to ensure compliance with government directives and that delays do not have an impact on other departments, external partners, or Centre objectives.


Financial Responsibility
This position will generate financial reports and conduct tracking of invoices and purchase orders in accordance with established procedures. May make small purchases for the Centre with manager approval and following all accounting and procurement procedures and policies.


Responsibility for Leadership


The position does not have direct reports but may provide incidental guidance to management, staff and contract trainers & developers on accounting policies and procedures (e.g., expense procedures).


Responsibility for Customer Relationships


This position will respond to customer and vendor requests providing information related to accounting, this may involve providing guidance to ensure the customer or vendor is clear on requirements.


Communication

Mental Effort
Attention is needed for reading reports, reviewing tenders and performing accurate financial data entry. This position often has choice of action (e.g. choice of movement or switching tasks).


Physical Effort, Disruption and Working Conditions
***The position requires constant periods of sitting to perform desk-based computer tasks. The position regularly requires reading, writing and/or analyzing of data, reports, and use of a telephone.
