    The ideal candidate will have a strong understanding of both administrative and managerial tasks, ensuring that our office runs smoothly and efficiently, while upholding the firm's reputation for excellence.

    McIntyre Finn Law Office is currently recruiting a professional, organized, and dynamic individual to take on the role of Office Manager in our reputable law firm.

    The ideal candidate will have a strong understanding of both administrative and managerial tasks, ensuring that our office runs smoothly and efficiently, while upholding the firm's reputation for excellence.

    Key Responsibilities: Administrative Support: Leadership of ongoing process improvement efforts. Manage day-to-day office operations and ensure administrative tasks such as correspondence, filing, and supply management are efficiently handled.

    Human Resources: Assist in the hiring, training, and orientation of new staff; oversee performance reviews, organize employees' activities and other HR functions.

    Facilities Management: Coordinate with vendors for office maintenance, ensure the security of office premises, and manage space allocations, expansions, or relocations.

    Financial Management: Oversee the office budget, business growth forecasting and tracking, manage AR and AP, manage month end, and liaise with the external accounting firm when needed. Manage payroll duties and employee benefits programs.

    IT Coordination: Collaborate with IT support to ensure all office equipment is functioning properly and that software and security updates are regularly maintained.

    Client Relations: Ensure that the reception area and the meeting rooms are welcoming and that visitors are greeted and assisted promptly.

    Meetings & Events: Coordinate and schedule internal and external meetings, events, and seminars. Ensure that necessary materials and equipment are prepared and available.

    Records Management: Oversee the storage, backup, and security of files, particularly sensitive client information, and ensure compliance with record retention policies.

    Professional Development: Encourage a positive and inclusive work environment; support opportunities for staff training and development.

    Qualifications:

    • Bachelor's degree in Business Administration or related field preferred;
    • 3 to 5 year's experience as an Office Manager, preferably within a law firm or professional services environment;
    • Strong organizational, leadership, and interpersonal skills;
    • Positive, team-oriented work ethic;
    • Excellent written and verbal communication skills in French and English;
    • Proficiency in office software (e.g., MS Office) and experience with legal management software or Quick Books are a plus;
    • Familiarity with office management procedures and basic accounting principles;
    • Ability to multitask and prioritize daily workload;
    • Discretion with confidential information.
