Position Summary

Position Responsibilities

Project Coordination

  • Assists in creating, implementing, monitoring and updating project plans
  • Coordinating the development, design, production and distribution of project specific materials and promotional tools
  • Investigating supplier quotes, comparing and recommending which vendor to engage
  • Liaising with external consultants and suppliers to ensure delivery of agreed upon deliverables
  • Supporting the development of project budgets and continuously tracking project expenses against prescribed budgets
  • Coordinating project meetings, including meeting logistics, preparation and circulation of relevant materials; taking meeting notes and action items
  • Support program planning, development and implementation
  • Executing logistics of project specific activities, initiatives and/or events

Outreach and Support

  • Supporting the Stakeholder Relations planning and implementation
  • Outreach to organizations based on the various organizational and project needs
  • Conduct research and management of partner network maps/contacts
  • Support the development and distribution of outreach materials such as enewsletters, ecommunications, webinars and/or other activities
  • Provides support for advisory and/or other collaborative groups
  • Provides exceptional customer service to clients and stakeholders and responds to inquiries from the public and organizations, as required

Reporting

  • Maintaining accurate and up to date project reports, records and files, including government / funder reports
  • Delivers specific project reports as required and collaborates with the evaluation team to ensure accuracy and consistency
  • Supporting (or leading where appropriate) official interim and final project reports and presentations
  • Supports the program evaluation and target setting associated with projects in their portfolio

Qualifications and Skills

  • University degree/college diploma in health sciences, communications, Sport Marketing, or similar
  • 23 years of experience in a coordinator role supporting projects, outreach, events, community engagement, or similar
  • Excellent organizational, team coordination, and multitasking skills
  • Strong written and oral communication skills
  • Experience and familiarity with the physical activity sector
  • Proficient in MS Office programs, Hubspot, or other CRM
  • Strong relationshipbuilding and outreach skills
  • Previous experience with equity, diversity, inclusion, and accessibility is an asset
  • You are passionate about the power of sport and physical activity and the important role it holds in the lives of the people living in Canada
  • Bilingualism (English/French) is an asset but not required
