Description
The office administrator's role will include working closely with our team by handling clerical duties, coordinating calendars, and maintaining the daily operations of the company.
In order to be successful in this position you should be detail-oriented, and professional, have excellent written and verbal communication skills, and be competent in prioritizing and working with little supervision.
Key Responsibilities:
- Arrange schedules/travel arrangements (flights, hotel, etc)
- Assist with new hire onboarding
- Perform bookkeeping procedures such as invoicing, monitoring accounts receivable, and tracking purchases
- Plan and execute Portfolio social activities throughout the year
- Assist in planning out Portfolio conference
- Upkeep office food/drinks inventory
- Assist in coordinating meetings book meeting rooms, order meals, provide hote/restaurant recommendations etc.
- Assist the Portfolio team with submitting expense reports
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Assist colleagues whenever necessary
- Other tasks as assigned
Requirements:
- Minimum 12 years relevant experience in an office setting required.
- Outstanding communication and interpersonal abilities
- Excellent organizational and timemanagement skills with the ability to prioritize multiple tasks.
- Leadership skills to take control of a situation and make quick decisions when necessary
- Attention to detail to submit work or send communications without error
- Adaptability and flexibility to adjust priorities for whatever task is most important at any given time
- Ability to handle sensitive information
- Excellent knowledge of MS Office (Excel, Word, etc.)
- Familiarity with organizational productivity tools (Notion, etc.)
- Familiarity with the Downtown Toronto area preferred
- Must be able to work in office
Job Type:
Part-time
Part-time hours: 20-25 per week
Salary:
$20.00-$25.00 per hour
