Position Summary
Admin Assistant, Chief, Emergency

Your goal in this position is to represent the office in a professional and customer focused manner, and to provide the full range of administrative support to the daily activities of the Chief of the Emergency Services Program.

Utilizing a broad-based knowledge of NYGH policies and administrative practices and procedures, you will manage administrative activities in addition to relationships with both internal and external contacts.

Part of your role will include the assistance in the resolution of complaints and administrative matters.

You have effective written and spoken communication skills; you use your critical thinking and problem solving skills, and embrace the challenge of prioritizing work demands in a fast paced and stressful environment.

This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.

This position supports the Hospital's academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation.

On a practical level, you will

Coordinate and support the credentialing and appointment process for all new professional staff.

Support the work of the medical staff association

Manage recruitment and selection committee processes, contract preparation, contract renewals.

Manage Physician 360 initiative - PQII project.

Provide administrative support to the daily activities of the Emergency Services Clinical Chief

Effectively manage the schedules of the Emergency Services Clinical Chief which includes scheduling, foreseeing conflicts and follow through.


Initiate development of agendas, presentation materials, meeting deliverables and follow-up items, including the generation of meeting notes and minutes as required.


Review incoming communications, identify appropriate action required, assign it as appropriate, and monitor the issues for appropriate follow-up, utilizing electronic data bases.

Streamline issues directed to the attention of the executive by taking ownership or directing to other executives as appropriate, keeping the executive informed on the process as required.


Participate in and lead activities to complete special projects, assignments and/or reports, either independently or in cooperation with other Executive Assistants.

Identify, analyze and recommend process changes to streamline and improve administrative workflow.

Possess excellent written and verbal communication skills.

Hold strong organizational and time management skills and ability to multi-task and prioritize work.

Be proficient in minute-taking, with the ability to write clear, concise and accurate minutes.

Confident working under pressure in a fast-paced office and meeting short deadlines.


Possess excellent interpersonal and customer service skills; the ability to communicate effectively with the public, Board Members, Government Officials, external stakeholders and Hospital staff at all levels.

Prepare presentations based on high level instruction without immediate and constant supervision.

Work in an independent and self-directed manner.

Demonstrate discretion, tact and diplomacy, to maintain confidences, and respect for privacy.

Have strong knowledge of general office practices, procedures and standards.


Qualifications:

College diploma/certificate or university degree in Administration or equivalent.

Minimum 5 years' experience in a senior administrative support role, with some experience in a hospital environment.

Proficiency in Microsoft Office including; Word, Excel and PowerPoint

Experience dealing with the public in a fast paced and customer service environment

Bilingualism in French/English an asset
