    Position Summary
    Working under the direction of the Research Manager, and Principal Investigator Program Coordinator will be assisting in coordinating operating budgets; coordinating and completing financial billing and payment activities; provide grant submission support; ensuring the efficient operation of the portfolio office/ program; coordinating internal and external meetings, reviews and events; providing project support as required; supporting the development of annual reports; liaison with vendors and external sites.

    Duties

  • Coordinates complex scheduling of internal and external stakeholders for portfolio meetings, reviews and events. Participants as required; multi-institution, provincial collaborative planning meetings.
  • Coordinates planning of regular accountability reviews, including document preparation, scheduling and communication with senior staff ( Board of Directors, Site Leads)
  • Coordinates the planning of large regional multidisciplinary meetings and/or events (> 35 people), including booking of venue and technical requirements (AV), development of event posters/information packages, booking accommodations and travel for guest speakers and other key arrangements
  • Prepares and disseminates materials for meetings, reviews and events including agendas, minutes*, supporting documentation, templates, etc. (*minutes for Executive Committee include complex clinical and research concepts and must be documented in detail)
  • Completes documentation for reporting on meeting, review and event outcomes
  • Manages multiple competing priorities, timelines and responsibilities of multiple programs, projects and services
  • Prepares detailed project plans and supports implementation of portfolio projects as assigned
  • Coordinates and completes financial billing and payment activities under the direction of the PI/Chair
  • Performs cross-functional duties and other duties consistent with the job classification, as assigned and/or requested.
  • Qualifications

  • At minimum, a Bachelor of Science or Bachelor of Business required, MSc or MBA preferred
  • At minimum, 4 years of practical and related experience
  • Five (5) years related office administration support experience required
  • Project management experience required
  • Project management certification, preferred
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience required
  • Experience in a Microsoft Office environment required
  • Excellent organizational and time management skills required
  • Excellent interpersonal and interprofessional skills required
  • Excellent verbal and written communications skills required
  • Ability to work effectively and efficiently under pressure required
  • Ability to use good judgment in assessing difficult situations required
  • Ability to effectively handle confidential matters and materials required
  • Previous supervisory experience preferred
  • Experience working in a health care environment an asset
  • Knowledge of medical terminology an asset
  • Project management/ supervisory experience an asset
