Primary Purpose


Reporting to the Executive Director, this position will provide efficient and effective operational and administrative support on all matters relating to workflow, scheduling, meeting logistics, event coordination, communications, employee activity and correspondence management.


Key Responsibilities:


  • Provide operational administrative support to the Executive Director including preparation of confidential correspondence and meeting materials, ensuring action items are completed on a timely basis, overseeing IT and software needs and managing day to day workflow.
  • Oversee scheduling and payroll software for employees, providing accurate and reliable data to ensure systems run smoothly.
  • Managing communications and correspondence with internal and external stakeholders, sharing information (confidential and public) as required.
  • Maintain the Executive Director's calendar and schedule appointments and meetings based on priorities of issues and events, inclusive of preparing for events and presentations, booking of rooms, IT, catering and other logistics.

Skills and Abilities

  • Advanced computer literacy and strong proficiency with Microsoft suite of products; Outlook, Word, Excel, PowerPoint, Teams, Adobe.
  • Strong organizational, project management and problemsolving skills with exemplary multitasking abilities.
  • Advanced written and verbal communication skills and the ability to communicate effectively with all levels both internal and external to the organization.
  • Ability to work with stakeholders to plan, prioritize and organize work and ensure deadlines are achieved.
  • Ability to maintain a high level of confidentiality and integrity.
  • Ability to be resourceful, flexible and dependable.
  • Demonstrated ability to support the organization vision and to integrate organization philosophies into daily routine.
  • Professional and courteous demeanor in dealing with all stakeholders and visitors.

Salary:
$60,000.00-$70,000.00 per year

Education:


  • Secondary School (preferred)
