Job Title: Integrated Wellness Administrative Lead


Join us in providing transformative therapies at Empower Health, where passion, collaboration, and vision converge to redefine healthcare in partnership with our clients.

At our flagship integrated wellness centre located in East Vancouver steps from the skytrain we offer a safe, accepting and compassionate community environment for our clients to pursue innovative health solutions tailored to address root causes including psychedelic assisted therapy, neurofeedback, naturopathic care, somatic therapy, breathwork, osteopathy, craniosacral therapy and more.


Purpose:


We are recruiting a high performing, enthusiastic and motivated person who is ready to join us in reaching our next level of excellence in service delivery.

To be a leader in our wellness centre operations and management and to drive the delivery of comprehensive, holistic care to our clients.


Primary Areas of Responsibility:

Client Relations Emphasis: Above all else, championing our clients experience and ensuring communication is prompt, compassionate and in support of their healing journey.

Steward our Operations: Managing the day-to-day functioning of our cutting-edge wellness centre.

Motivate and Empower: our multidisciplinary team to deliver transformative care with passion, empathy, and professionalism.

Elevating Client Experience: Ensure that every client receives the highest level of care and support as they embark on their journey to holistic wellness.

Innovative Financial Management: Drive financial sustainability and growth through precision in booking and billing tasks.

Compliance and Quality Assurance: Uphold the highest standards of regulatory compliance, safety, and quality assurance to maintain patient trust and confidence.

Strategic Growth Focus: Collaborate and communicate frequently with senior management about service delivery trends to to shape the strategic direction of the clinic, driving innovation and growth in alignment with our mission and values.

Community Engagement: Forge partnerships, cultivate relationships, and champion our mission in the community, positioning our clinic as a leader in transformative healthcare.


Duties:

-
Ensure clerical excellence: Manage file storage, document compilation, editing, distribution, and record-keeping in compliance with policies. Utilize Google apps, Excel, and other tools for document creation and modification.

Client and Patient Management: Oversee the current database, handle booking, billing, and ensure timely communication follow-ups.

Facilities & Office Oversight: Maintain cleanliness, manage inventory, coordinate maintenance, liaise with the landlord, and troubleshoot office equipment.

Bookkeeping: Assist operations manager with insurance billing, invoice and receipt filing, and transaction reconciliation.

Practitioner Support: Administer schedule and room management.

Onboarding Assistance: Aid in practitioner and staff recruitment and onboarding processes by compiling and filing documents and facilitating the addition of new services.

Team Culture: Promote a culture of excellence in communication and conflict resolution.

Policy Management: Develop and update policies and procedures as required.

Medical & Inventory Oversight: Supervise lab supplies and procedures, manage first aid protocols, oversee dispensary inventory, and handle client record processes.

Contribute to Marketing: Support marketing strategy by identifying trends, networking, and assisting in the development, posting, and distribution of materials.

Drive Innovation: Identify and optimize processes monthly to reduce costs, enhance efficiency, or boost profitability, while encouraging team participation in innovation.


Qualifications and Experience:


  • Minimum of 35 years in administration, preferably in a clinic or wellness centre setting.
  • Knowledge of bookkeeping and financial processes to ensure sustainability and growth
  • Visionary mindset with a passion for innovation and transformation in healthcare.
  • Exceptional leadership, communication, and interpersonal skills, with the ability to inspire and motivate a diverse team.
  • Comfortable working to solve problems independently and as a part of a team
  • Personable and enjoy talking to people while maintaining professional boundaries
  • Have a high level of selfawareness and are unafraid to ask for help when needed
  • Selfdriven and continuously desire personal and professional growth
  • An ability to commit to a working relationship of a minimum of 2 years
