Position Overview
Provide a wide range of financial and confidential administrative support services to the Long-Term Care Division. Responsible for property management support, report / research preparation and a number of various daily activities for the Homes.


Responsibilities:


Financial Management Support:


  • Prepare relevant financial reports for managers and supervisors
  • Maintain financial records for invoices and statistical reporting
  • Prepare and processes accounts payables/receivables, invoices, and cash receipting
  • Assist in monitoring monthly activities of the Homes' revenue budget
  • Responsible for preauthorized payments/monthly billings for 3 Homes
  • Prepare purchase orders, request approvals and place orders.

Property Management Support:


  • Monitor existing contracts and leases to ensure compliance with terms and conditions
  • Develop and administer new leases and contracts
  • Provide operational knowledge for telephones, photocopiers etc.
  • Monitor interdepartmental courier service and coordinates changes with drivers and locations

Report Preparation & Research:


  • Prepare monthly statistics and reports for Senior Management team (i.e., Ministry of Long Term Care Reports, Accounts Receivables 3 homes)
  • Assist Administrator in carrying out the annual Elder/Family Satisfaction Survey

Administrative/Clerical Duties:


  • Type, copy and distribute departmental correspondence, reports, policies, meeting minutes etc.
  • Organize and manage department filing system
  • Gather and compile information concerning items of interest (i.e., Ministry of Health and Long-Term Care correspondence and monthly statistical reports)
  • Respond to inquiries from staff and outside organizations for financial information (i.e., Resident billing)
  • Act as liaison with other County departments
  • Provide backup cash control functions (Elder Comfort Accounts, selling bus tickets, stamps, payments on account balancing cash etc.)
  • Advise the departmental manager of any irregularities or problems, which may arise in areas of assigned responsibility
  • Other related duties as assigned

General:


  • Incumbents must keep uptodate on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed
  • Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis

Qualifications:

Minimum Formal Education

  • A 2year Community College Diploma in Accounting and/or Administrative Assistant
Experience

  • 12 years experience within an office setting
  • Knowledge and experience with accounting practices and procedures
  • Proficient in all Microsoft programs including experience with accounting programs (i.e., RAC & iCity, Vadim & administration and clinical documentation software)
  • Must possess diplomacy, tact, and communication (verbal and written) skills
