Amnesty International Canadian Section (English Speaking), also known as AICSES, is seeking to hire a Manager of Finance and Operations.

This role is primarily responsible for responsible for leading equitable, transparent, and participatory processes of financial planning, budgeting, reporting, and forecasting processes; in addition to playing an integral role in continuous improvement initiatives related to business processes and procedures for staff, and ensuring service excellence for our employees, volunteers, members and guests.


Reporting to the Director of Finance and Operations, this role will manage and oversee all aspects of accounting, financial record keeping and reporting and analysis including maintenance of the general ledger, accounts payable and receivable, and the probity of the donor database; in addition to supporting the organization in executing it's return to work hybrid work policy and ensuring office spaces are functional, safe and collaborative from a physical infrastructure perspective including ensuring accessibility.


This position would be responsible for supporting the areas of payroll, donation processing, office coordination and maintenance as well as developing and maintaining excellence, innovation, equity and transparency in finance and operational processes, platforms, tools, and practices, enabling team efficiency and collaborative and cross-program working practices.


WHAT YOU'LL DO

Financial Management

  • Manages and leads a team of Finance and Admin support roles (7+) and optimizes performance, cohesion, and improvement in ARAO competencies and practices for the team
  • Monitors financial activity with respect to the section's donor database, ensuring that donor information is efficiently captured and reported, and ensuring that the section is PCI (purchase card industry) compliant
  • Prepares the annual operating and capital budgets and quarterly reforecasts
  • Develops models, forecasts, dashboards, and other analytical tools to improve planning and decisionmaking approaches in the organization
  • Maintains the organization's compliance with all relevant legislative and regulatory standards and guidelines including the preparation of Information Returns as required by the Canada Revenue Agency
  • Liaises with external auditors and manages the yearend audit process Develops and implements financial controls, systems, metrics, internal reporting, and analysis
  • Oversees confidential payroll functions, ensuring controls and policies are in place and all legal requirements are met in a timely fashion
  • Assists with preparation of the monthly and yearend financial statements for internal and external use and for required reporting to the International Secretariat (IS)
  • Assists the Director of Finance and Operations, Executive Director, and Secretary General with financial reporting as required at Board meetings and the Annual General Membership meeting
  • Manage relationships/agreements with external partners/vendors/contractors
  • Creates budgets, policies, and procedures to support functioning infrastructure
  • Supervises general accounting duties including A/P, A/R, G/L analysis and the audit processes for various payroll functions, assuring that financial records and systems are maintained in accordance with Generally Accepted Accounting Principles
  • Support local sites by sourcing maintenance or related service providers
  • Lead strategic sourcing process through RFPs, negotiations and roll out new suppliers/programs

Operational and Facilities Management

  • Manage the facilities operations across three sites and coordinate activities to achieve operational efficiencies, while adhering to the strategic plans. Analyzing needs and directing changes as required.
  • Directs the design, planning, construction and maintenance of an organization's facilities and properties and responsible for longrange facilities plans based on organizational growth and future needs
  • Support the organization in executing it's return to work hybrid work policy and ensuring office spaces are functional, safe and collaborative from a physical infrastructure perspective including ensuring accessibility
  • Oversees the maintenance of office infrastructure and functioning of all three sites including mechanical, electrical, fire/life safety, plumbing, and waste management
  • Preparing and carrying out emergency protocols and procedures.
  • Ensuring organizational compliance with Occupational Health and Safety, to create a worksafe environment for employees and visitors
  • Plans, coordinates and supervises daytoday core facility operations including overs
