Special Event Coordinator
Report to:
Director of Fund Development & Community Relations
St. Joseph's Hospice has an immediate opening for a Special Events Coordinator.
The incumbent will report to and work closely with the Fund Development Coordinator and the Director of Fund Development and Community Relations.
Position Summary
Working as part of the Fund Development team to promote awareness and sustainability, the Special Event Coordinator plans, organizes, and manages St.
The Special Event Coordinator works to establish new community connections and nurtures event participants, volunteers, sponsors and donors through support and recognition.
The Event Coordinator is also responsible for maintaining documents, reports, data, and communications related to events and community activities.
This position is an excellent opportunity for an entrepreneurial, goal driven individual with experience in special events, community, and partnership fundraising.
Responsibilities for the position:
- The Special Event Coordinator will play an integral role on the fundraising team through effective planning, organization and implementation of all hospice special events and related activities.
- Coordinates St. Joseph's Hospice fundraising events from concept to completion, ensuring maximum revenue generation.
- Manages event budgets.
- Communicates event goals and plans to the Hospice team and encourages support from all colleagues.
- Researches, identifies, and establishes relationships with potential thirdparty donors.
- Provides leadership to event donors and volunteers.
- Prepares and implements plans to research, identify, and secure sponsors for events.
- Works with the Fund Development Coordinator and the Marketing & Communication Coordinator to market and communicate of special events including media relations, sponsorship packages, invitations, etc.
- Works with the Volunteer Program Coordinator to recruit and train volunteers for fundraising events and event committees.
- Recognizes and thanks donors and sponsors at events and through post event followup.
- Maintains organized and accurate documentation.
- Will serve as primary contact for Signature events, communityinitiated fundraisers, Community Partnerships and other events as necessary, i.e. cultivation events / stewardship events, etc.
- Ensure annual financial targets are met.
- Develop initiatives to increase donor retention, upgrade sponsorships and acquisition of new supporters to ensure short term and longterm financial objectives are met.
- Management of all related administrative and office operations associated with the role is essential.
- The position requires collaboration with staff, volunteers, sponsors, participants, and event vendors.
- Inherent in the job is the flexibility to work overtime during evenings and weekends when necessary.
Qualifications required to apply:
- Diploma or degree in event management, fund development, or equivalent preferred.
- Minimum of 2 years' experience in event planning, specifically planning and implementing successful special events.
- Possesses exceptional interpersonal skills and is ambitious, enthusiastic and friendly with people of diverse personality, age and cultural background.
- Possesses strong project management and time management skills, with the ability to handle multiple tasks.
- Outstanding written, verbal, listening, and presentation skills.
- Experience working with a fundraising software to manage donor records, track donor support and acknowledge gifts. (ex/ Donor Perfect, Raiser's Edge)
- Ability to work flexible hours including evenings and/or weekends as required for events.
- Ability to meet the physical demands of the job (lifting 25 pounds, standing, driving).
- Values volunteers and understands their role in the organization's success.
- Good organizational ability and interpersonal skills.
- Competent with computer programs including Microsoft Word, Excel, Publisher, and Office 36
- Demonstrates flexibility to respond to multiple demands and flexible regarding work schedule.
- Demonstrates critical thinking, assessment and problemsolving skills.

Full Time
Hours:
Monday to Friday - 8:30 am to 4:30 pm - as well as evenings and weekends for special events.
Salary:
$25.99 per hour
