The Planning Engagement Coordinator is responsible for coordinating the development and implementation of the Vancouver Fraser Port Authority (port authority) public and stakeholder engagement initiatives and programs associated with port authority-led development projects; land use plan reviews and annual amendment processes; and other port authority short and long-term planning and transportation initiatives.

This includes providing coordination for planning and development engagement initiatives and supporting with other related activities as required.


This role will:

  • Plan, coordinate, participate and implement public meetings and open houses, on port authorityled development projects and for port authority initiatives, programs and projects in the context of established policies and procedures.
  • Lead or facilitate the fullscope planning and stakeholder engagement activities, for smaller or less complex development projects, as assigned.
  • Develop and implement strategies, plans and tactics in relation to communications and community engagement issues for smaller or less complex port infrastructure, development and/or planning projects, as assigned.
  • Coordinate planning and engagement events, activities and preparation of materials including graphic design support, as required.
  • Monitor and respond to general enquiries from stakeholders and the public as part of planning and engagement activities, ensuring responses are accurate and appropriately align with current policies, and with other departmental and organizational objectives and initiatives.
  • Provide general business communication support to the planning and development department as assigned, including preparing status updates, briefing notes, information sheets, presentations and other support materials, as required.
  • Perform engagementrelated research in support of departmental initiatives.
  • Maintain tracking databases and spreadsheets on issues related to engagement and feedback received from stakeholders and the public on planning initiatives and programs.
  • Advise port authority staff on known or anticipated community issues to determine whether consultation is required and with whom on portled and/or tenantled development and/or planning projects.
  • Provide coordination and support to several planning and development advisory committees and working groups, as required.
  • Liaise with communications team to develop accompanying communications material to support planning and engagement activities, plans and programs.
  • Incorporate Indigenous, local, provincial, and federal government and community engagement initiatives into project communications as required.
  • Liaise with a variety of internal departments and external stakeholders to support planning and development initiatives, plans and programs.
  • Participate on and/or lead crossfunctional teams.
  • Support the continuous improvement of planning and development stakeholder engagement initiatives.


This position is ideal for a self-motivated individual with excellent communication and interpersonal skills, including tact, diplomacy and the ability to liaise effectively and positively with both staff and external stakeholders.

Ability to analyze individual initiatives in the context of the bigger picture, identify issues, provide advice and escalate situations when necessary.

Must have excellent written and verbal communication skills. Facilitation and conflict resolution skills would be a strong asset. Must be a team player with a strong customer service focus, both internally and externally. Must have excellent organizational skills and the flexibility to perform multiple tasks as required.


Normal office conditions with the requirement to occasionally work evenings or weekends to attend external meetings and events, as required.
